Summary We are seeking a Program Manager Admin I to support and enhance the onboarding experience for new hires in our global engineering organization. This 100% REMOTE role involves coordinating and managing logistics, communications, and reporting for a high-impact onboarding program, working closely with the Learning & Development team.

You will coordinate weekly onboarding sessions for over 800 new hires across both U.S. and international locations, ensuring a seamless and consistent experience. You'll manage calendars, maintain clear and timely communication, and keep program documentation up to date to support smooth execution. Additionally, you'll schedule and support trainer sessions to ensure all sessions run smoothly.

You will also play a key role in organizing data from various sources and supporting reporting efforts for executive stakeholders. Your work will help inform decision-making and drive program improvements. A focus on continuous improvement is essential, as you'll identify opportunities to enhance processes and help scale the onboarding program to meet the needs of a growing global organization.

Requirements
  • 2+ years of program or project management experience
  • Experience with Google Workspace (Drive, Sheets, Mail, Calendar)
  • Background in a multinational organization
  • Familiarity with Learning Management Systems (Docebo preferred)
  • Experience with process optimization and onboarding software is a plus
  • Strong communication skills and understanding of enterprise environments
Responsibilities
  • Global program coordination: Coordinate onboarding sessions to provide a seamless experience for new hires across multiple U.S. and international locations (weekly, 1.5 hours)
  • Program communication and calendar management: Communicate the program timeline and manage the weekly program calendar across three separate time zones to drive participation (weekly, 1.5 hours)
  • Program documentation maintenance: Consolidate and maintain program information across various sources to ensure accuracy and consistency for new hires (monthly, 2 hours)
  • Process improvement: Gain deep knowledge of the program and recommend improvements to enhance the new hire experience and support scalability (quarterly, 4 hours)
  • Data organization and reporting: Organize data from sources such as the LMS and calendars to support reporting to executive stakeholders (quarterly, 4 hours)
  • Trainer scheduling, coordination, and support: Schedule trainers for live sessions quarterly and address trainer-related issues as they arise (quarterly, 2 hours; weekly, 1 hour)
