The Program Coordinator will be responsible for managing the daily operations of the Global Entrepreneurs in Residence (GEIR) Program at William Paterson University (WPU). This role will support the successful execution of the program, ensuring that international student entrepreneurs receive the necessary resources, mentorship, and guidance to develop their AI-driven startups.

The coordinator will oversee program logistics, participant engagement, and administrative support, working closely with faculty, industry advisors, venture capital firms, and other stakeholders. This position is grant-funded under the NJ OSHE Global EIR Initiative and will play a key role in ensuring compliance with grant requirements and reporting.

Key Responsibilities

Program Administration & Coordination
  • Oversee the recruitment, selection, and onboarding process for GEIR participants (international student entrepreneurs).
  • Serve as the primary point of contact for program participants, faculty, and external stakeholders.
  • Maintain records of participant progress, business development milestones, and program metrics.
  • Organize program events, including Pitch competition, workshops, mentorship sessions, and Demo Day.
  • Assist in the development of policies, procedures, and program guidelines for participants.
Logistics & Event Planning
  • Coordinate logistics for virtual and in-person accelerator workshops, office hours, and networking events.
  • Secure office space, meeting rooms, and technology resources for program participants.
  • Work with the Russ Berrie Sales Institute to provide pitch training and Demo Day preparation.
  • Assist in arranging guest speakers, mentors, and advisors when necessary.
Stakeholder Engagement & Communication
  • Work closely with the Office of International Students and Scholars to ensure visa compliance and work authorization requirements for participants.
  • Facilitate engagement with AI and VC advisors to provide mentorship and investment opportunities.
  • Maintain relationships with local business incubators, industry partners, and funding organizations.
  • Assist in external communication efforts, including email campaigns, newsletters, and promotional outreach.
Data Tracking, Reporting & Compliance
  • Track key performance indicators (KPIs) such as business incorporation, funding secured, and mentorship hours.
  • Assist in compiling mid-year and final grant reports for OSHE and program funders.
  • Ensure compliance with grant regulations and university policies regarding program administration.
  • Manage program finances in coordination with the NJSBDC Director
Qualifications & Skills

Required:
  • Bachelor's degree in Business, Public Administration, Higher Education, or a related field.
  • 3+ years of experience in program coordination, higher education, startup incubation, or grant management.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Experience working with international students or entrepreneurs.
  • Proficiency in Microsoft Office, Google Workspace, and event coordination tools.
Preferred:
  • Master's degree in business, Economic Development, Public Administration, or related field.
  • Knowledge of AI, venture capital, and startup ecosystems.
  • Familiarity with databases for tracking program data.
