Organization: PAMF-Palo Alto Medical Foundation PAD Position Overview: Responsible for providing administrative logistics and operations support to a clinical or non-clinical program. Serves as principal administrative contact and liaison for internal and external department or program constituencies. Duties may include program implementation and administration support, internal and external operational/administrative liaison, program marketing support, and reporting. Works within established procedures with a moderate degree of supervision in a work environment of multiple and conflicting priorities; recognized and solves typical program problems and updates program manager/leader on status of projects. JOB ACCOUNTABILITIES: PROGRAM SUPPORT: Handles day-to-day logistics and administrative activities between units to ensure optimal program operations. Performs clerical and administrative support tasks, including creation, typing, and editing of program correspondence, purchasing documents, reports, program handbooks, and other publications. Creates, edits, and coordinates development of program materials including: promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program. Performs specialized activities of a programmatic nature in direct support of the accomplishment of program objectives and protocol. Collects and compiles data; prepares scheduled and special reports; maintains program records and statistical information. Performs information management functions, including maintaining databases, entering and auditing data, and preparing routine and/or ad-hoc reports on behalf of the program. CUSTOMER SERVICE: Serves as administrative program liaison and contact for patients, visitors, staff, other departments, external agencies and regulatory bodies as appropriate. Researches issues; interact with other departments, physicians or administrators as needed; resolves or escalates issues when appropriate. Receives and screens calls, messages, mail and email communications, and visitors. Refers and answers inquiries as appropriate procedures and policies relating to departmental functions. FINANCIAL RESPONSABILITIES: Monitors budget(s) including grants, maintains financial documentation, provides information, research, statistics, and analysis. Monitors program/project revenues and expenses; may develop or participate in the development of funding proposals for the program. Processes invoice and check requests according with established policies and procedures. SAFETY: Maintains a clean, neat, and safe working environment, by inventorying and ordering accessories and supplies periodically to maintain established stock levels. Inspects and arranges for equipment repairs, monitors costs and needs for replacement. EDUCATION: HS Diploma or General Education Diploma (GED) TYPICAL EXPERIENCE: 1 year recent relevant experience. SKILLS AND KNOWLEDGE: Organizational skills with particular ability to prioritize work in an environment with multiple and conflicting interests. Proven project and/or program management skills. Interpersonal and communication skills . Ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion. Basic knowledge of computer applications, such as Microsoft Office Suite (Word, Excel and Outlook), EPIC, and related information systems. This range has not been adjusted for any specific geographic differential applicable by area where the position may be filled.
