NLC MUTUAL OVERVIEW

NLC Mutual serves state municipal league risk pools throughout the United States with a focus on reinsurance, risk financing, and risk management needs.

POSITION OVERVIEW

Supports the coordination and administration of both internal and external programs, including meeting coordination, conference logistics, and data lists, social media and communications to members.

The ideal candidate will be detail-oriented, able to multi-task, a self-starter and be able to work independently as this is a remote position. They will have strong organizational, communication, and time management skills.

DUTIES AND RESPONSIBILITIES

Meeting Coordination
  • Provide support to the team with internal and external meetings, including scheduling, coordinating logistics, organizing agendas, attending meetings, taking minutes, operating technology as needed, and coordinating necessary follow-up tasks.
  • Manage and maintain the annual RISC schedule of events and meetings, including communication to critical stakeholders to ensure tasks and business are concluded on time.
  • Assist with the Annual Business Meeting, including contact with voting delegates, creation of agenda, and coordination of recognitions and awards.
  • Assist with RISC and Mutual Board Meetings, including proofreading of materials, onsite meeting set up and technology support, and other tasks as assigned.
  • Assist with All Staff Retreat and other off-site meetings as needed.
Communications
  • Assist with communications and marketing activities and disseminate information to appropriate stakeholders.
  • Assist with the development of the RISC and Mutual newsletters, including gathering content from team members, laying out in the newsletter template, and scheduling distribution. Ensure the distribution list is accurate and up to date.
  • Assist with content development on social media platforms, primarily LinkedIn.
  • Assist with updates to both the Mutual and RISC websites.
  • Regularly interacts with internal and external stakeholders to ensure projects and tasks are accomplished in a timely manner.
Conferences
  • Assist with logistics for two annual conferences, including:
    1. Conference registration
    2. Hotel room coordination
    3. Speaker coordination
    4. Onsite registration
    5. Conference app
    6. Receptions or other special events
Member Engagement
  • Update association management software with new or updated members, staff, and trustees conference. Pull necessary reports or summary information as requested.
  • Maintain distribution lists within association management databases and creates new mailing lists as needed.
  • Coordinate requests for updates in the association management database to staff and trustees.
  • Serve as the primary data entry person for member meetings, allowing teams across the organization to track engagement.
  • Coordinate member communications specifically related to holiday emails and social media posts, as well as Board Member birthday card distribution.
  • Request information for membership renewals and sets up invoices in association management database.
Other
  • As assigned, assist with special projects, such as member renewal, budget preparation, member surveys and research projects, and data collection and retention.
  • Verify and process invoices and reimbursement requests in a timely manner.
  • Create and maintain organizational electronic file structure as assigned, including compiling and saving information from multiple sources in a useable form for internal and external use.
  • Respond to member inquiries and elevate as needed.
  • Perform other duties as assigned.
MINIMUM QUALIFICATIONS
  • Associate and at least one to two years of practical experience; or a combination of education and experience which provides the required knowledge, skills, and abilities
  • High proficiency and comfort level operating within Microsoft Office - with particular emphasis on Excel, Word, PowerPoint, Teams, Outlook - and comfort utilizing association and data management software platforms.
  • Ability to work in a digital environment with full-time remote colleagues.
  • This position is a full-time remote position.
  • Some out-of-state travel is required.
SKILLS AND COMPETENCIES REQUIRED:

Analytical Thinking: Ability to systematically and logically evaluate information and solve problems.

• Attention to Detail: Ensures accuracy and consistency in transactions and contract administration.

• Communication: Strong verbal and written skills to communicate with internal teams and external partners.

• Technical Proficiency: Skilled knowledge of Microsoft products and capable of learning company-specific software.

PHYSICAL REQUIREMENTS:

This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs. Requires the ability to travel locally, regionally and nationally.
