Program Assistant - Temporary (Quality Improvement)

Company Overview: Our client is a leading healthcare company in Orange County, dedicated to providing health services to one in four residents. We are committed to fostering a culture that emphasizes diversity, equity, and inclusion. We are currently seeking a Program Assistant for a Temporary position in our Quality Improvement department. This role will support the team in various administrative and programmatic tasks to ensure the smooth execution of quality improvement initiatives.

Position Summary: The ideal candidate will provide essential support to the Quality Improvement team by organizing and preparing materials for meetings, assisting with administrative tasks, and facilitating the coordination of data and reports. This individual will work closely with the Director, staff, and other departments to help ensure the quality of services provided to members is continually improved.

Work Duration: Up to 6 months

Work Hours: Monday to Friday, 8:00 a.m. to 5:00 p.m.

Work Type: Onsite

Position Responsibilities

• Provide administrative support to the Quality Improvement team, including preparing meeting materials, taking minutes, and managing correspondence.

• Assist in the creation and management of reports, logs, calendars, and mailings related to quality improvement activities.

• Support staff efforts with data entry, documentation, and ensuring timely production of required reports and presentations.

• Maintain department directories, SharePoint, and time-off calendars.

• Coordinate the Director's calendar, schedule meetings, appointments, and events while evaluating the priority of matters that need attention.

• Process incoming invoices and expense reports for the Director and other management staff as needed.

• Manage supplies inventory, including ordering and monitoring supply levels.

• Maintain confidentiality of sensitive information related to management projects, policies, and personnel.Assist with ad-hoc projects, ensuring that tasks are completed on time and meet department objectives.

• Ability to build and maintain effective working relationships with team members, leadership, and external stakeholders.

• Excellent communication skills, both written and verbal.

• Strong organizational and problem-solving abilities, with the ability to manage multiple projects simultaneously.

• Ability to work independently and exercise sound judgment in a fast-paced environment.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other job-specific software/systems.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Ability to visually read information from computer screens, forms, and printed materials.

• Ability to speak clearly and communicate effectively.

• Ability to sit for extended periods and perform administrative tasks.

• Ability to lift and move objects up to 25 pounds, as necessary.

Indoor office environment with moderate noise levels.

• Some schedule changes may occur, with occasional travel required.

• The work environment is typically sedentary, with no harmful environmental conditions.

Experience & Education

• High School diploma or equivalent.

• 1 year of experience in an administrative support role.

• Data entry experience is required.

• Strong organizational and time management skills.

• Proficiency in Microsoft Project, Access, Publisher, and Visio.

• Experience working within quality improvement or healthcare-related programs.
