Job Responsibilities
Under general supervision, the Program Assistant provides project and administrative support for the readySCTM Scout Motors project. In addition to typing, filing and data entry, perform duties such as scheduling, systematic organizing of training records, as well as disseminates information effectively and efficiently. Answers non-routine correspondence and assemble confidential and sensitive data. Independent judgment is required to plan and prioritize diversified workloads. Responsibilities include but are not limited to:
  • Collects all training data and inputs it into the required training management systems.
  • Organizes and prioritizes data collection workload to ensure current project data is available.
  • Document scheduling and assist with organizing training activities.
  • Types and produce documents according to business standards which include procedural correspondence, memos, and emails, as well as charts, tables, graphs, and supportive businesses documents.
  • Answer and routes phone calls in a courteous manner to appropriate departmental personnel.
  • Act as a liaison with other companies, departments and outside agencies including executive members of management.
  • Handles confidential and non-routine information without compromise.
  • Coordinate with the Project Director to prioritize and complete tasks associated with ongoing project management objectives.
  • Maintains training spreadsheets, inventory control documents, database and required forms.
  • Coordinate supply replenishment and printing needs.
Minimum and Additional Requirements
A high school diploma and relevant program experience. A bachelor's degree may be substituted for the required program experience.

Must have strong administrative experience and be able to demonstrate skills with Microsoft Office, Excel, and Adobe. A comprehensive knowledge of data collection and the ability to communicate effectively via multiple communication methods (email, phone, person to person). Possess a high degree of interpersonal skills with demonstrated poise, tact, and diplomacy. Has demonstrable ability to utilize analytical and problem-solving skills when addressing solutions of administrative concern.
