The
Non-Profit Administrative Assistant provides essential administrative and operational support to ensure the smooth running of the organization's day-to-day activities. This role involves managing office functions, supporting staff, and ensuring the efficient coordination of various tasks to help the organization fulfill its mission.
Key Responsibilities: - Administrative Support:
- Answer phone calls, respond to emails, and manage correspondence.
- Organize and maintain files, records, and databases.
- Assist in scheduling meetings and maintaining the calendar for senior leadership or staff.
- Prepare and edit reports, presentations, and other documents as needed.
- Coordinate travel arrangements, accommodations, and itineraries for staff or volunteers.
- Office Operations:
- Ensure office supplies are stocked and manage inventory.
- Assist with the management of office equipment, including troubleshooting and maintenance requests.
- Provide general office assistance and help maintain an organized workspace.
- Fundraising and Event Support:
- Assist in the planning and coordination of fundraising events, community outreach, and donor relations.
- Manage invitations, RSVPs, and event registration.
- Track donations, prepare acknowledgment letters, and maintain donor records.
- Data Entry and Database Management:
- Maintain and update donor, volunteer, and program participant databases.
- Assist with tracking of donations, grants, and other financial records in collaboration with finance staff.
- Input and organize data for reports and grant applications.
- Communication and Outreach:
- Draft newsletters, community bulletins, or social media content as directed.
- Help maintain the organization's website and social media accounts.
- Assist in outreach efforts by preparing and sending mailings or promotional materials.
- General Support:
- Provide support for board meetings, including scheduling, preparing meeting materials, and taking minutes.
- Assist with grant applications and reports, coordinating the submission of necessary documentation.
- Perform other duties as assigned to support the mission of the organization.
Qualifications: - Education: High school diploma or equivalent; a degree in administration, communications, or a related field preferred.
- Experience: Prior experience in office administration or a non-profit environment is a plus.
- Skills:
- Strong organizational and time-management abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with database management and other administrative software is preferred.
- Ability to handle confidential information with discretion.
