The Procurement Coordinator responsibilities include overseeing the daily activities of the technology purchasing function; reviewing technology purchasing decisions, orders, and vendor contracts; assisting with the ordering of materials and supplies from vendors; researching, interviewing, and negotiating with suppliers to obtain prices and specifications; creating purchase orders for the acquisition of materials and performing related administrative tasks.

Responsibilities include:
  • Tracking procurement through process and communicating with customers and management on a regular basis
  • Ensuring all procurements and discussions logged and documented in the Ticketing system
  • Escalating and referring unresolved issues to management when appropriate
  • Tracking licensing with customers to ensure that they do not expire
  • Coordinating with IT Security entity to assure background clearances are completed for ISS IT products.
  • Gathering and preparing quotes, proposals and purchase terms and conditions from approved suppliers
  • Maintaining records for product support and warranties, leasing, maintenance, and software contracts, as well as hardware purchases, and license information.
  • Assisting with monitoring appropriate levels of consumables. (i.e. cables, screen protectors, adapters, etc)
  • Receiving and quality assurance for tagging equipment.
  • Working with IT Helpdesk to maintain repository of enterprise software licenses/keys
  • Creating and maintaining vendor relationships
Required Experience:
  • The ideal candidate will have excellent oral and written skills with a working knowledge of Microsoft office products, and an interest in working within an IT organization.
  • Candidate must also be able to coordinate multiple tasks successfully and ability to track procurements throughout the lifecycle.
  • Candidate must have at least two years experience in a procurement capacity.
  • Experience should include developing and following procedures and/or work instructions.
  • Experience with software licensing and volume purchasing agreements for the major enterprise system software suppliers (e.g., IBM, HP, Microsoft )
  • Experience in planning and carrying out software license audits & reconcilements.
  • Certification in Software License Management a plus.
Education and Relevant Work Experience:
  • Bachelor Degree or pursuit of a technical degree is desirable. Equivalent work experience in related field is acceptable.
