This is a non-supervisory position; Serves as the assistant to the Procurement and Facilities Director; Performs administrative duties; Work involves the use of computer applications such as Microsoft Office Suites, Impak Work Order Software and FMS Accounting Software; Performs a variety of data entry, file maintenance, typing and clerical tasks; Maintains a bidder/vendor lists; Creates and maintains tenant files; Assists with completion of tenant welcome packets; Assists in the management of department shared calendars and schedules for meetings, conferences, and appointments

Responsibilities include performing general office duties to include correspondence, filing, copying, scanning, answering emails and telephone calls, and providing technical assistance as requested; Corresponding with staff and tenants to include maintaining tenant files; Input staff and tenant maintenance work orders in Impak software system; Routinely monitor of work orders.

Duties include assisting with requisitions and orders merchandise, supplies, and equipment; Supports point of contact for the mail process; Assist with the agency fax retrieval system; Maintains vendor packets and bidders list; Enters orders for department in Procurement system; Assists with Request for Proposals - RFP's, RFQ's, RFI's, etc.; Performs other duties as assigned.

Physical requirements include stooping, standing, walking, kneeling, crouching/crawling, climbing stairs/ladders and ability to lift/carry heavy loads of 50 lbs. or more; May frequently be required to sit, use hands to handle or feel, reach with hands and arms, and talk or hear; May routinely be required to stand and walk for short periods; Specific vision abilities required by this job include close vision and distance vision; Use of personal computing equipment, telephone, multi-functioning printer and calculator. May be required to work after hours.

Desired Degree/Job Experience: High School diploma/GED required and at least one (1) year of relevant experience; Proficient in Microsoft Software (Word, Excel, and PowerPoint).
