Job Title:PROBE & UNIFY Research Administration Management Analyst

The Ohio State University seeks a full time Research Administration Management Analyst 3 to manage a stakeholder driven integrated research, extension and education project, entitled-"UNIFY: Universal Feedstock Supply Chain Logistics for Sustainable, Climate-Smart Feed, Fiber, and Fuel". This project is focused on harvest and post-harvest logistics and preprocessing of major U.S. crops for sustainable production of feed, fiber and biofuels. UNIFY has multiple missions-research, extension, education, and workforce development.
This position will also oversees other research projects and the program for
Bioproducts and the Environment (PROBE). PROBE is an interdisciplinary research and outreach program to facilitate: investigation on the conversion of biofeedstocks to value-added end-products; collaboration of Ohio State University researchers and educators with stakeholders from other institutions and industries to prepare proposals, develop processes for the production of bioproducts from biofeedstocks, and provide educational and outreach opportunities; and, delivery of research results to academia, industry, government agencies, and the public via workshops, seminars, and tours.
The position is supported by a funded 5-year USDA NIFA Sustainable Agricultural Systems (SAS) grant, led by Ohio State University and in partnership with several other institutions including Central State University, Mississippi State University, Florida Tech, and USDA-ARS Cotton Production and Processing Research Unit.
Key Responsibilities Are:The Research Administration Management Analyst will be responsible to provide key fiscal and operational support to the Principal Investigator (PI), Dr. Ajay Shah, to design and implement the multifaceted UNIFY project, as well as the PROBE research project. Other research projects may also be managed by the candidate. The Research Administration Management Analyst 3 will act as the guardian of university and agency system requirements ensuring compliance with all laws, regulations, policies and sponsors related to research projects, proposals, and grant monitoring. The Research Administration Management Analyst is responsible for networking with university administration and the funding agencies to keep abreast of the latest changes and policies.
This position reports to Dr. Ajay Shah with a high level of independence and accountability along with collaboration with the university leadership team. The Research Administration Management Analyst is responsible for:
Research project management: collaborates with PI/Co-PIs and staff on developing and implementing research programs and agenda. Co-ordinate and facilitate monthly UNIFY team meetings, quarterly stakeholder advisory board meetings, and comprehensive annual meetings with UNIFY team members, stakeholder advisory board and external evaluator. Organize various projects and special events under direction of the PI including but not limited to: research presentations, site visits, workshops, seminars, exhibits, extension activities and other special events including managing space, catering and AV needs. Manage networking and professional development opportunities for undergraduate and graduate students, and post-doctoral fellows. Facilitating and coordinating PROBE events.
Data management: Facilitate the collection, organization and storage of primary data generated in the project. Facilitate organization and storage of primary data obtained from stakeholder engagement, extension, education and external evaluation. Ensure that data sharing complies with the established protocol and funding agency guidelines.
Evaluation and Reporting: Work closely with the external evaluators to ensure that project objectives are being fulfilled according to the timeline. Provide interim and final report of findings to the external evaluators for evaluation; collect and summarize external evaluator's feedback and communicate with UNIFY team for improvements. Prepare annual and final technical and administrative reports by compiling information from UNIFY team members following proper funding agency guidelines. Ensure that the quarterly reports from each objective lead are submitted to the PI. Ensure the timely submission of the annual progress reports and final report to the funding agency.
Fiscal/Procurement/Travel Management: Manage the grant related activities with the Office of Sponsored Programs, sponsor, and the sub-awardees on the projects. Ensures spending is within sponsor guidelines and closely monitoring F&A expenditures on NIFA grants. Provides administrative and analytical support for proposal preparation and contract and grant administration, including pre-award proposal initiatives, post-award management and closeout activities for various grants. Manage project related travel arrangements for the PI. Manage travel and complete the reimbursements with honorarium for the members of the stakeholder advisory board for the annual project meetings. Develop and manage internal purchasing process following university and sponsor purchasing guidelines. Assist with personnel appointments. Assist with account reconciliation. Manage PROBE funding and expenditure.
Information Technology and Communications: Maintain effective communication within the UNIFY team and with the sponsors and stakeholders. Prepare newsletters and other promotional materials and social media posts. Provide oversight for UNIFY websites and databases. Ensure modification, informational updates, and document postings to the website are complete. Serve as primary point of contact for UNIFY leadership. Manage day to day operation of UNIFY administrative tasks. Maintain UNIFY calendar. Maintain records. Maintain PROBE website. Other duties as required.
Education/Experience Required:• Bachelor's degree in business, grants management or a related field.
• 4 years of experience managing large, complex, multi-unit research, extensions and/or education projects within higher education.
• Strong communication and organization skills.
• Excellent computer (MS Office suite, Excel) and database management skills
• Self directed, can work alone or in team environment.
• Ability to develop strong relationships and work with senior-level administration, faculty and staff to reach shared goals.
• 2 - 3 years of experience with grant management and administration.
Desired:• Master's or higher-level degree in business, grants management or a related field.
• 4 - years of experience in managing large, complex, multi unit research, extension and/or education projects
• Experience with fiscal management, complex spreadsheets and tracking systems
• Experience in working with and managing relationships with stakeholder advisory boards or similar groups
• Familiarity with agriculture, biomass processing and environmental systems
• Experience in engaging with diverse farmers, academics, and stakeholders.
Location: Ohio State University. Hybrid work arrangement can be made. The position does require travel to the OSU Wooster campus 1 time per week at a minimum.
