The job of Principal Secretary is done for the purpose/s of providing administrative and secretarial support to assigned school site principal; monitoring assigned activities; and providing information, recommendations and/or direction as requested.44

Position begins July 28, 2025 and is on an 11-month calendar, not working the majority of July. Position receives training and specific onboarding prior to start. Current pay is based on the school year, but will be updated if enhancements are made. District paid health care is provided, along with retirement contributions matched by the District.

Essential Functions
  • Arranges and orders materials for graduation and awards ceremonies for the purpose of ensuring scheduled large event area and materials needed.
  • Collects payments from SPL, OT, PT claim care and MSBA Consortium meetings for the purpose of ensuring the payment is correct and prompt.
  • Collects payments for a variety of events (e.g. fines, fees and fundraisers, etc.) for the purpose of completing transactions and/or securing funds.
  • Compiles data from a variety of sources (e.g. work orders, budget reports, specialized reports, personnel records, student records, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Coordinates a variety of projects, functions and/or program components (e.g. meetings and facilities, inservice events, travel and accommodations, communications to staff and parents, budget reports, building web site support, field trips scheduling, manage emergency subs, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
  • Maintains manual and electronic documents,files and records (e.g. emergency information, facility use, time sheets, work orders, expense reimbursements, etc.) for the purpose of providing up-to- date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Monitors students referred to the Administrative Office for illness or disciplinary action for the purpose of ensuring their safety and welfare and maintaining a secure office environment.
  • Monitors a variety of activities on behalf of the Administrator (e.g. office environment, calendar schedule, staff communication, building inventory, door access control, building budget summary report, staff and student files, etc.) for the purpose of achieving goals and meeting target dates.
  • Participates in a variety of building meetings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
  • Prepares a variety of documents (e.g. correspondence, agendas, minutes, event programs, bulletins, reports, etc.) for the purpose of communicating information and/or creating documentation in compliance with established guidelines.
  • Presents information on administrative procedures (e.g. department/program policies, submission procedures, etc.) for the purpose of orienting new personnel and/or disseminating information to existing personnel.
  • Processes documents and materials (e.g. time sheets, work orders, requisitions, travel reimbursements, budget transfers, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements
  • Responds to a variety of inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication among parties.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking, and 20% standing. The job is performed under conditions with some exposure to risk of injury and/or illness.

Experience: Job related experience with increasing levels of responsibility is desired.
