Job Description / Essential Elements:

PRINCIPAL'S SECRETARY

BASIC FUNCTION:
Under direction, perform a variety of responsible secretarial work for the Principal of a high school; responsible for the operation of a school's main office; and perform related duties as required.

EXAMPLES OF ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Plan, layout, and perform a wide variety of clerical and secretarial work;
2. Interpret, communicate and apply District and school rules, procedures, and policies;
3. Take and transcribe dictation; type minutes, orders, bulletins, reports, documents and statistical data;
4. Prepare periodic reports, including searching for materials from various sources and handling details of presentation;
5. Assist students and/or parents in contacts with school programs and staff, referring the most complex problems to the principal or designee;
6. Compose standard letters, memoranda, or reports independently or with minimum instruction;
7. Arrange schedules, meetings, and conferences;
8. Generate and maintain financial and statistical records and reports;
9. Collect and account for school monies;
10. Requisition and maintain records of school supplies and equipment;
11. Create, revise, and/or supervise the maintenance of filing systems; and
12. Plan, provide work direction, and review the work of assistants.

KNOWLEDGE OF:
1. Office practices and procedures, including business correspondence, filing, and operation of office equipment;

ABILITY TO:
1. Interpret, communicate, and apply rules, regulations, laws and policies;
2. Compile and maintain numerical records and reports;
3. Make mathematical computations rapidly and accurately;
4. Plan, schedule, and supervise assistants;
5. Compose letters independently;
6. Exercise independent judgment and discretion;
7. Establish and maintain effective working relationships with others.
8. Take and transcribe dictation, or transcribe from dictating equipment, at 90 words per minute;
9. Type 50 words per minute from clear copy; and
10. Pass computer competency examination.

EXPERIENCE/TRAINING/EDUCATION:
Any combination equivalent to:
1. Graduation from high school, including or supplemented by courses in office procedures; typing, keyboarding or data entry; and
2. Four years of increasingly responsible office or secretarial experience, including
some experience in a school district setting.
