QUALIFICATIONS - High School Diploma or equivalent
- Working knowledge of computer word-processing and Microsoft Office applications, and Google.
- Minimum of two years' experience in related area performing secretarial or general office work in an office with considerable public contact, or an equivalent combination of experience, education and/or training that demonstrates the desired knowledge, skills and abilities
- Knowledge, skill, and or experience in the implementation of Positive Behavior Intervention Supports (PBIS) strategies or be willing to receive training in those strategies
- Ability to obtain a valid Arizona IVP Fingerprint Clearance Card
KNOWLEDGE, SKILLS AND ABILITIES - Ability to demonstrate leadership and organizational skills.
- Strong internal and external communication skills, both oral and written.
- Ability to follow written and/or oral instructions.
- Ability to demonstrate interpersonal and problem-solving skills.
- Ability to maintain accurate records and reports.
- Ability to use computers for email communications, word processing, data management and other assigned tasks as related to the position.

- Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level.
- Ability to understand and maintain students' and parents' rights to confidentiality and not violate those rights; nor discuss students in inappropriate places or with anyone not in direct contact with such individual students.

- Perform all duties in accordance with Federal and State laws, district procedures, and Board policies; including mandatory reporting procedures.

PRIMARY DUTIES AND RESPONSIBILITIES - Assist the Principal/Site Administrator in daily oversight of office operations, aligned with procedures.
- Delegate tasks to clerical office personnel.
- Complete office and secretarial duties, including greeting visitors, answering inquiries, and providing general information relevant to the site. Explain school programs and procedures.
- Oversee the timekeeping/leave system process.
- Process maintenance and purchase requisition orders.
- Prepare capital and supply requests and other site purchases, maintain records of budgetary transactions, and prepare bank deposits. Assist Principal/Site Administrator with budget planning and oversight.
- Maintain calendar and schedule for the Principal/Site Administrator; arrange appointments, conferences, and interviews. Prepare agendas, reports, and other resources for the Principal/Site Administrator, as requested.
- Arrange travel, including field trips, hotel accommodations, and district vehicle use.
- Handle student referrals to include dissemination to appropriate people.
- Obtain and organize pertinent data in usable form, as needed.
- Process incoming correspondence and mail, compose correspondence independently, and type material from rough drafts.
- Maintain confidential records and files.
- Provide pertinent site information for new and substitute staff.
- Issue keys to staff and maintain inventory of building keys.

While performing the duties of this job, the employee is required to reach with hands and arms, sit, stand, walk, stoop, and bend as necessary. The employee may lift, carry, push, pull, or otherwise move objects weighing a minimum of 10 pounds and could occasionally lift or move up to 20 pounds. The employee will read correspondence and computer screens, and use the telephone.
WORK ENVIRONMENT Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with parents, students, staff and the public.
ORGANIZATIONAL RELATIONSHIPS The Principal Secretary reports to the School Principal. The Principal Secretary will interact cooperatively with all other staff positions. All elements of good human relations will be practiced.
