Bertram Elementary Primary Purpose:
Ensure efficient operation of elementary school administrative office and provide clerical services for school's administrative staff.

Qualifications:
Education/Certification:
High school diploma or GED

Special Knowledge/Skills:
Knowledge of general office procedures
Knowledge of basic accounting principles
Proficient keyboarding and file maintenance skills
Ability to use software to develop spreadsheets and databases, and do word processing
Ability to follow verbal and written instructions
Ability to perform a variety of tasks often changing assignment on short notice with some direction
Ability to prioritize workflow to address the multiple needs of the supervisor or the department
Ability to multi-task numerous complex administrative activities
Effective organizational, communication, and interpersonal skills

Experience:
Two (2) years secretarial experience

Major Responsibilities and Duties:
  1. Prepare written correspondence, forms, schedules, or reports using personal computer.
  2. Prepare instructional materials, meeting agendas, class lists, and campus communication as requested.
  3. Maintain a daily teacher attendance log and records for substitute teachers.
  4. Monitor and process personnel time records including leave requests and reports for Principal approval.
  5. Maintain school calendar of events via website and campus bulletin boards.
  6. Schedule meetings and appointments and maintain calendar for principal.
  7. Assist students, teachers, and parents as needed.
  8. Receive incoming calls, take reliable and accurate messages, and route to appropriate staff.
  9. Greet and direct campus visitors according to district policy.
  10. Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
  11. Update handbooks, policy manuals, and other documents as assigned.
  12. Act as backup for other office personnel.
  13. Perform routine bookkeeping tasks and maintain campus budget records.
  14. Prepare and process purchase orders.
  15. Receive, store, and issue supplies and equipment.
  16. Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity records.
  17. Assist with coordination of faculty meetings and campus activities including fundraising.
  18. Maintain inventory of fixed assets, equipment, and supplies.
  19. Sort, distribute, or deliver mail and other documents.
  20. Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.
  21. Maintain office machinery (copiers, poster machine, laminator) and order supplies.
  22. Maintain consistent punctuality and regular attendance.
  23. Maintain confidentiality of all student, staff, and other District information.
  24. Maintain positive community relations by establishing positive rapport with students and parents.
  25. Attend and participate in faculty meetings, staff development and serve on staff committees as required.
