The Pre-Award Services Coordinator in the Office of Sponsored Programs Administration (SPA) organizes and facilitates the intake, review, routing, execution, distribution, and record-keeping for proposals, awards, and agreements administered through The Research Foundation (RF) for SUNY at the University at Albany. The Pre-Award Services Coordinator will perform a wide range of pre-award and non-financial post-award clerical administrative tasks using sponsor and SPA business systems which will involve significant communication with both internal and external constituents. The Pre-Award Services Coordinator will provide exceptional customer service by responding to inquiries to best support the research community, as well as assist with staffing coverage and administrative duties as needed to achieve the overall SPA mission.

Essential Functions:
  • Monitor, review, and ensure timely responsiveness to inquiries and requests from faculty and staff, external collaborators, and sponsors. Maintain information systems and processes to: manage intake; expedite assignment to research and contract administrators; monitor, update, and communicate the status of pre-award tasks associated with proposals, awards and award modifications, contracts and subcontract agreements.
  • Assist with the preparation and processing of incoming and outgoing agreements, award modifications, and amendments to align with project period of performance and sponsor timelines. Perform checklist review of documentation to ensure completeness and adherence to RF, University, sponsor, and regulatory requirements. Maintain project files and use SPA business systems to route finalized agreements for signature. Disseminate executed agreements and document correspondence.
  • Contribute as part of a team that maintains SPA office list of contacts, operational documents, webpage support, and file management. Provide support and coverage for office functions as needed including but not limited to: assisting with the preparation of various reports; assisting with the management of the filing system; answering telephones and greeting visitors; making photocopies and scanning documents; and participating in SPA, RF, and University programs, meetings, and events.
Job Requirements:

MINIMUM REQUIREMENTS
  • High School Diploma and 4 years of progressive clerical experience; OR an Associate's degree and 2 years of progressive clerical experience; OR a Bachelor's degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 1 year of clerical experience.
  • Proficient skill in using Microsoft Office.
  • Demonstrated ability to work independently and as part of a team.
  • Demonstrated excellence in written and verbal communication skills.
  • Must possess a strong focus on attention to detail and accuracy.

Preferred Requirements:
  • Ability to manage competing priorities in a high-volume work environment
  • Advanced skill in using Microsoft Office.
  • Experience working in sponsored programs administration or higher education.
  • Experience using Oracle Business Applications.
Additional Information:

Salary Range: $48,000 - $53,000 (DOE)

Subject to change: This position may be eligible for up to 60% alternative workplace arrangement (Hybrid) with supervisor approval after a probationary period with in-person requirement located in Albany, New York.
