Practice Manager

Job Summary

The Practice Manager will be an integral part of an entrepreneurial and growing wealth management team by providing dedicated strategic support to a group of our financial advisors and to be the team member to "make it real" on innovations and solutions. Their most valuable contribution to the team will be having a laser focus on freeing up our advisors to be client-facing while helping the team run the behind-the-scenes processes, details, and customer service. The Practice Manager will possess the business acumen needed to move initiatives forward that guide sales, marketing, client service, and client loyalty. This person will both develop and participate in client-facing events and execute campaigns to enhance the client experience and drive new business opportunities for the advisors. This position manages initiatives, projects, and processes of a team but does not have any supervisory responsibilities.

The Practice Manager position is non-exempt, located onsite in our Manhattan office, and reports to the Growth Development Manager.

Responsibilities include, and are not limited to:

  1. Act as the liaison between the advisors and the team and extended network to move tasks, projects, and priorities forward on time, on budget, and with minimal stress, freeing up advisors to spend more time with their clients and prospects.
  1. Build and maintain team brand and messaging through:
    - Developing and implementing a marketing strategy
    - Resourcing and collaborating with marketing vendors to deliver services within established budget and timelines.
    - Executing tactics of the plan.
  2. Learn the business units and services within the advisor team to anticipate where to move workload within the team to open up time for lead advisors.
  3. Manage the email inboxes of lead advisors, filtering and moving tasks and requests from advisor inboxes to the team.
  1. Proactive strategic calendar management of lead advisors to focus their time on their top weekly priorities to drive business impact.
  1. Optimize project & client service facilitation across Weddle Team, KEATING departments, and vendors.
  1. Bring life to advisors' entrepreneurial ideas by turning them into actionable plans and processes that bring results. You can take the idea given, filter if it is the right idea at the opportune time, and "make it real".
  1. Plan and work with the team to execute all event planning and client gifting throughout the year, owning the vendor relationships, budget, and timeline of each.
  1. Track existing and future team projects including objectives, timelines, and tasks.
  1. Facilitate weekly team meetings, tracking & reporting timelines and metrics to keep accountability and progress forward moving.
11. Owns team administrative tasks in areas such as client meeting scheduling, mass email communication, mailings, team office supplies, and client care.

12. Answering client calls into the branch as part of the backup reception team.

13. Willingness to step in to help the team as needed.

  • Planning ability and active delegation and follow up skills.
  • Aptitude for learning and communicating industry-specific information.
  • Knows Excel and how to create efficiencies and presentation components with spreadsheets.
  • At least two years of relatable experience in some area of these job responsibilities.
