This requires a qualified typist who can prepare and maintain fiscal and related records.
Essential Duties and Responsibilities include the following.
- Type correspondences for principal, staff, and school.
- Operate typewriter, computer, calculator, copiers, mail machine, and facsimile machines.
- Serves as emergency contact with fire and law enforcement.
- Serve as liaison with outside groups such as, Head Start, YMCA, School Pictures.
- Assist with summer schedule planning and preparation.
- Assist with Kindergarten Registration.
- Prepare Cafeteria Funds for Armored Truck pick-up and signs form.
- Sign for FedEX and UPS deliveries and notify staff.
- Input information into Student Information System.
- Perform basic repair on machines.
- Design all school forms.
- Maintain all student records.
- Enroll new students.
- Give tour of building and classrooms.
- Handle all student transfer requests.
- Monitor and reconcile all staff attendance through Aesop.
- Maintain all "School Dude" maintenance requests.
- Handle all custody papers and custody issues.
- Check all visitor and student sign in/out procedures.
- Answer telephones.
- Greet all visitors and route them to appropriate designation.
- Supervise all "picked up" children in the cafeteria at dismissal time.
- Coordinate events.
- Write bus passes and make bus changes over phone, at last minute.
- Manage day to day operations in absence of administrators.
- Train staff on computers and machines.
- Put all mail in staff boxes and help with postage and postage mailing procedures.
- Perform other duties that may be assigned by the superintendent, or designee.
QualificationsHigh school diploma. Must be able to work well with others. Proficient computer skills. Knowledge of Windows, Microsoft, Print shop, Excel etc. Business courses and/or prior secretarial experience. Able to demonstrate the ability to plan and supervise the work of others. Works independently. Highly organized.
Education and/or Experience:High school diploma or equivalent required; combination of education and experience in general office procedures preferred.
Language SkillsMust be able to communicate clearly, orally and written. Must be fluent in English and have good grammar skills. (Able to speak Spanish for ESL communication is helpful.)
Mathematical SkillsMust have all basic math skills i.e. addition, subtraction, multiplication and subtraction.
Reasoning/Other AbilitiesMust be able to make a responsible decision under pressure or intense circumstances.
Physical DemandsAble to walk to all points in building. Normal vision and hearing. Work involves limited physical tasks.
Work EnvironmentMust maintain a professional appearance. Must keep office area and work area neat and orderly.
EvaluationPerformance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
