Basic Function Responsible for collecting, processing, entering, reporting, filing, evaluating and maintaining of all police data under a restricted and secured environment. Also responsible for ensuring all information entered into the specialized database is complete, accurate and in accordance with appropriate guidelines. Perform duties in a safe, efficient manner in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties - Collects and processes all police data twice daily from Records' secured lockbox in officer work area.
- Processes Accident and Incident reports and citations for entry into Records Management System (RMS) and dissemination to the proper courts.
- Scans Accident and Incident reports, finable, warning, and parking tickets into PSI CAP/SharePoint and index each individual document.
- Keeps a separate filing and accounting system of tickets written for fare evasion.
- Maintains a separate light rail vehicle accident database and a high occupancy vehicle (HOV) lane accident database.
- Maintains and issue citation books to officers
- Generates various reports (traffic ticket count, HOV ticket count, fare evasion/ticket count, incident count, non-moving violation count, etc.) on a weekly, biweekly, monthly or by request.
- Processes subpoenas and expunction orders.
- Provides copies of Incident and Accident reports to all law enforcement officials and/or to the public as requested.
- Responsible for collection of monies for copies of Accident and Incident reports and Theft of Service Administrative fee by way of the Police Records window.
- Conducts searches in Records Management System monthly to compare calls for service versus accidents/incidents received for monthly closeout and reporting throughout the authority.
- Maintains investigation division's cleared case files, juvenile files, criminal history check files and probation violation (parolee) files.
- Maintains and process various logs for record keeping.
- Provide Claims/Risk Management/First Transit with daily Accident reports upon request.
- Filing and maintenance of all data received.
- Handles incoming calls in rotation daily.
- Provides the Supervisor assistance with Excel reports and other special Excel projects.
- Provides excellent customer service to METRO internal and external customers.
- Applies SMS (Safety Management System) methods and principles in daily routine and supports all aspects of the agency's Public Transportation Agency Safety Plan (PTASP).
- Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.
- Performs other job-related duties as assigned.
Pay Range: $40,100 - $51,600
Education Requirement High school or GED required.
Years & Experience Required Minimum three (3) years' experience in a records/data entry environment. Experience in a law enforcement environment preferred.
Knowledge & Skills Required Good communication (written and verbal) skills. Knowledge of Uniform Crime Report (UCR) codes preferred. Good working knowledge of Excel, Word, and Microsoft Outlook. Must complete and pass a Criminal Justice Information System fingerprint-based background check.
This position requires a background check. Common disqualifiers include, but are not limited to:
• Class A or Felony conviction or court-ordered supervision or probation regardless of date of conviction.
• Class B conviction or court-ordered supervision or probation within the past 10 years.
