Summary:

Here at the Husband & Wife Law Team, we are seeking to add a dynamic Personal Executive Assistant to our fast-paced law firm. This role is all about versatility and adaptability, supporting the Owners, Mark and Alexis Breyer and supporting the team members in our People Department. Including assisting with onboarding, offboarding, new hire training, and providing administrative support to the recruitment team. Your days will be varied and vibrant, also including back up support for front desk operations Proficiency in creating professional PowerPoint presentations is essential, along with exceptional organizational, communication, and problem-solving skills. Key Responsibilities:

Personal Support to Mark & Alexis Breyer:
  • Personal Assistance: Be the right-hand person. Provide personal support to the owners of the law firm, including person and professional help, tasks will include but not be limited to running errands, managing personal tasks, calendaring items, reminding of calendared items, helping to follow up, a myriad of admin tasks, making and returning calls, writing letters, creating presentations, helping to prepare for meetings, helping to facilitate meetings, project management and more.
People Operations Department Support:
  • Human Resources Support:
    1. Onboarding and Offboarding: Assist the welcome committee in onboarding and offboarding processes, ensuring smooth transitions for new hires and departing employees.
    2. New Hire Training: Help with new hire training, which can also include preparing materials.
    3. Presentation Creation: Assist in creating and developing presentations for meetings, reports, and other business needs. Includes recapping meetings and taking notes.
  • Front Desk Support:
    1. Administrative Tasks: Assist the front desk superstars. Support front desk staff and be their back-up with administrative tasks and manage overflow admin responsibilities.
  • Recruitment:
    1. Interview Coordination: Help our recruiting team Perform administrative tasks related to recruitment, such as scheduling interviews, maintaining candidate records, and coordinating communication.
    2. Integration Support: Do you love project management, help us create a seamless ATS transition.
  • Culture/People Support:
    1. Being a part of the People Team means always embracing a positive culture to help make this the best place to work.
  • Events and Team Outings Support:
    1. Help the People Team with events. Assist with organizing fun and engaging team outings and events.
What We're Looking For:
  • Education: Bachelor's degree in business administration, communications, or a related field.
  • Experience: 1-3 years of HR/Administrative Support or 1 year of proven Personal assistant support.
  • Proven experience as an executive assistant or in a similar role, preferably supporting senior executives.
  • Technical Proficiency: Advanced skills in Microsoft PowerPoint, including the ability to create visually appealing and effective presentations. We are a Microsoft Suite Team so be prepared to use Outlook, Excel, and Word too.
  • Organizational Skills: Exceptional ability to manage multiple tasks and priorities.
  • Communication Skills: Excellent written and verbal communication skills.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Problem-Solving Skills: Strong ability to anticipate needs and solve problems proactively.
  • Discretion: High level of integrity and ability to handle confidential information.
  • Attention to Detail: Meticulous attention to detail and accuracy.
  • Adaptability: Ability to adapt to changing priorities and work under pressure.
  • Professionalism: Professional demeanor and appearance.
