Part-Time to start (20- 25 hours/week) We are seeking a highly organized, intuitive, and proactive Executive / Personal Assistant to support the CEO of a fast-growing Registered Investment Advisory (RIA) firm. This role is both professional and personal - ensuring the CEO is focused, prepared, and operating at their highest level both at work and at home. This is not a gatekeeping role. This is a right-hand partner role. Responsibilities:
• Manage a complex calendar of client meetings, team commitments, and external engagements
• Organize and triage emails, draft correspondence, and prioritize communication flow
• Coordinate travel, meeting prep, and post-meeting follow-up
• Maintain/update task/project management systems (Wealthbox, ClickUp, Airtable, etc.)
• Create agendas, decks, briefing notes, and meeting summaries
• Liaise with clients, COIs, custodians, and vendors on behalf of the CEO
• Support planning of client events, team offsite, and educational seminars Personal Support
• Schedule personal appointments (health, home, family, etc.)
• Book personal and family travel, manage logistics and preferences
• Run errands or coordinate services (car maintenance, household needs, etc.)
• Assist with personal financial organization, billing, and recordkeeping
• Manage gift-giving, personal reminders, birthdays, and family logistics
• Provide light project management for home-related or vacation-related initiatives What Success Looks Like
• The CEO is on time, fully prepared, and able to focus on high-leverage work
• Email and scheduling is proactive and streamlined
• Clients and partners experience warmth, professionalism, and polish
• Personal life logistics are handled efficiently and with discretion
• The assistant anticipates needs before they arise and takes initiative. Qualifications:
• Strong organizational skills, communication skills, time management skills, and interpersonal skills
• 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar
• High school diploma or G.E.D. required
• Comfortable meeting deadlines and handling confidential information
• Tech-savvy: Google Workspace, CRMs, calendar tools, and communication platforms
• Obsessed with details and timelines - nothing slips through the cracks
• Discreet, emotionally intelligent, and deeply trustworthy
• Excellent written and verbal communication skills
• Strong sense of initiative, confidence, and calm under pressure
• Bonus: Experience planning events, managing projects, or working in a client-facing firm Compensation: $20 - $25 hourly
