Position Overview Ultimate Staffing Services is actively seeking a highly organized and efficient Personal Assistant to the Owner for a prominent business in California. The successful candidate will work onsite in Costa Mesa and must possess valid transportation. This role requires someone who is proactive, reliable, and has experience assisting C-level executives or company owners.
Responsibilities - Manage the owner's calendar by scheduling meetings, appointments, and travel arrangements.
- Handle communication management, including answering phone calls, emails, and managing correspondence.
- Coordinate travel by booking flights, hotels, and transportation for both business and personal trips.
- Track and process expenses for accurate expense reporting.
- Perform personal errands such as grocery shopping, dry cleaning, and making appointments.
- Organize business events, conferences, and social gatherings.
- Prepare presentations and reports, and maintain document management and files.
- Protect sensitive personal and business information to ensure confidentiality.
Qualifications - Bachelor's degree is required.
- Must have recent work experience as a personal assistant to C-level executives or company owners.
- Excellent organizational skills and the ability to prioritize tasks and manage time effectively.
- Strong communication and interpersonal skills.
- Proficient in technology and calendar applications.
- Demonstrated ability to handle confidential information with discretion.
- Capable of multitasking and anticipating needs, staying ten steps ahead.
Required Work Hours Monday to Friday, 8:00 AM - 6:00 PM, with no weekends required.
Benefits This position offers a competitive salary ranging from $54,000 to $60,000 per year.
