We are looking for a proactive, organized, and highly motivated Personal Assistant to support our team leader and ensure smooth day-to-day operations in a high-volume environment.
Position Overview:
As a Personal Assistant, you will play a crucial role in supporting the real estate professional's daily activities, handling a variety of administrative tasks, and helping manage a busy schedule.
The ideal candidate will be responsible for a range of activities which will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and be able to thrive in a fast-paced and ever-changing industry
Key Responsibilities:
- Calendar Management: Organize, schedule, and prioritize meetings, property showings, and appointments. Must be very detail oriented.
- Client Communication: Act as a liaison between the realtor and clients, ensuring prompt responses to inquiries, follow-ups, and providing top-notch customer service.
- Document Management: Assist with the preparation and review of contracts, listing agreements, and other real estate documents. Manage timelines for showings & assist with mass mailings, postcards and gifts for client events.
- General Office Support: Handle phone calls, emails, and general office management duties as needed.
- Problem-Solving: Handle any urgent tasks or challenges that may arise, ensuring smooth operations. Additional Miscellaneous research may be required.
- Miscellaneous Tasks: Support the realtor in day-to-day tasks as needed, from personal errands to administrative support.
- Assist with contact cleanup in supported CRM's and daily maintenance of databases.
Skills & Qualifications:
- Proven experience as a personal assistant or executive assistant, preferably in real estate or a high-volume setting.
- Strong organizational and multitasking skills with the ability to handle competing priorities.
- Excellent written and verbal communication skills. Must be consistent with follow up & be able to multitask.
- Tech-savvy with experience using Google Suite, CRM software, and social media platforms as well as daily maintenance of all databases.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability. Hours may vary and may include weekend hours.
- Discretion and confidentiality when handling sensitive information.
- Positive attitude and a willingness to learn and grow within the industry.
- Must be detail oriented and open to constructive feedback.
Preferred Qualifications:
- Previous experience in the real estate industry is a plus but not required.
- Familiarity with MLS systems and real estate software is a bonus.
- A valid driver's license and reliable transportation.
