Overview

The position is for a Licensed Executive Real Estate Assistant to support two dynamic and busy real estate agents with transaction management for sales, managing rental properties, and marketing of their individual business's. This role is for a mature, professional with business and management experience who has a high degree of integrity, customer service awareness and an outgoing personality. It is a demanding role with a high degree of autonomy and self-motivation. The candidate must be ambitious, innovative and dedicated to assisting and supporting.

Responsibilities-Assistant -

  • Administrative Support: Provide administrative support to Jeff Jensen Homes & Greg Stock Real Estate, including: scheduling meetings, open houses, brokers opens, photography, meeting with home vendors at listings, sign installation, requesting Title & Escrow file set up, managing calendars, file set up in computer, generate listing paperwork in TransactionDesk, draft transaction paperwork, delivering Keyboxes to listings, and buyer/seller correspondence/inquiries.
  • Client Relations: Serve as a point of contact for clients, addressing inquiries and facilitating communication.
  • Marketing Support: Help with the development and execution of marketing strategies, prepare advertising, prepare printing materials for marketing purposes, Social Media including preparing promotional materials and managing online listings.
  • Meeting Coordination: Plan and coordinate meetings, presentations, and events, client gathering, including arranging logistics and preparing materials.
  • Data Management: Maintain and update Brivity, Command client databases and Vendor database, track transactions, and generate reports as needed.

Responsibilities-Transaction Management/Compliance -

o Real Estate Transactions: Assist with the preparation and management of real estate transactions, including contracts, agreements, and property listings.

o Document Management: Organize and maintain files and records, ensuring all documents are accurate, complete, and confidential.

o Compliance: Ensure that all transaction and client forms comply with KW Command (application). Upload all transaction and client forms in KW Command for compliance purposes.

Responsibilities-Property Management -

o Tenant Management: Handle tenant inquiries, complaints, and requests. Screen prospective tenants. Prepare and enforce lease agreements. Collect rent payments, and manage late fees. Coordinate move-ins and move-outs, conducting inspections and documenting property conditions. Management of real estate transactions, including contracts, agreements, and property listings.

o Property Maintenance: Oversee the maintenance and repair of properties, including scheduling and supervising contractors. Conduct routine check up's of rental properties to ensure yard is being taken care of.

o Financial Management: Collect rent, security deposits, and other payments (pet deposits). Pay and track utilities/sewer/storm bills, bill back to tenants if required.

o Marketing and Leasing: Develop and execute marketing strategies to attract tenants. Conduct property showings and provide detailed information to prospective tenants. Create and manage property listings across various platforms.

o Vendor and Contractor Management: Establish and maintain relationships with service providers, vendors, and contractors. Oversee contractor work to ensure quality and timely completion of tasks.
