Role Summary
We are seeking a reliable, proactive, and highly organized Personal Assistant and House Manager to oversee day-to-day personal, business, and household operations for a busy professional household in Austin, TX. This full-time, on-site role requires someone who is hands-on, detail-oriented, and thrives on keeping both household and personal affairs running smoothly.
You will act as a right hand to the principal-supporting both personal and household management tasks ranging from calendar coordination and errands to vendor management and event planning, travel, organization, property management.
Key Responsibilities
Personal & Executive Support
- Manage calendars, appointments, reminders, and personal scheduling for the principal and household
- Book travel (domestic/international), including flights, accommodations, and itineraries
- Coordinate with professional contacts (doctors, schools, legal, financial, etc.)
- Handle email correspondence and phone calls on behalf of the principal
- Maintain confidential information with absolute discretion
Household Management
- Oversee all daily household operations including scheduling maintenance, managing vendors, and coordinating repairs or services
- Create and maintain household manuals, routines, budgets, and checklists
- Manage household supplies and inventory, including grocery shopping and online ordering
- Ensure the home is organized, clean, and ready for guests or family needs. Coordination and management of other household staff.
- Handle pet care coordination (vet appointments, supplies, grooming, etc.)
Errands & Administrative Tasks
- Run local errands (dry cleaning, returns, pharmacy, packages, etc.)
- Receive and manage incoming packages and deliveries
- Track expenses, handle reimbursements, and manage petty cash or household budget
- Assist with special projects such as gift purchasing, holiday prep, or home organization
- Assist in event coordination for events, small family gatherings, parties, or travel prep
Qualifications
- Proven experience in a similar role (e.g., personal assistant, executive assistant, household manager, estate manager)
- Excellent written and verbal communication skills
- High emotional intelligence and professionalism
- Exceptional organizational and time management skills
- Technologically savvy-comfortable using apps for scheduling, travel booking, expenses, etc.
- Ability to anticipate needs and take initiative
- Reliable vehicle and valid driver's license
- Discretion and ability to handle sensitive information with integrity
Bonus Qualifications
- Bachelor's degree preferred but not required
- Experience in managing private homes, luxury properties, or high-net-worth families
- Familiarity with smart home technology or home automation systems
Schedule & Location
- Full-time position (40 hours/week with occasional evening/weekend flexibility)
- Based in Austin, TX (on-site only)
