About the Role: As the Payroll Specialist, you will play a key role in our continued HR and payroll transformation and your responsibilities will include:
Responsibilities:
- Preparation of Time Files - Make sure the time/hours is loaded effectively into payroll preview each Monday.
- Checking timesheets for accuracy and ensuring all time has been submitted following SOP.
- Maintain accurate payroll records and employee data, including wages, benefits, bonuses, and deductions.
- Edit and revise downloaded data to upload into ADP for employee time and PTO.
- Process weekly and bi-monthly payroll files.
- Audit of our 3rd party payroll processing through ADP - Make sure everything looks good during payroll preview.
- Ensure compliance with all applicable tax laws and labor regulations.
- Reconcile payroll reports and resolve discrepancies in a timely manner.
- Accurately determine time and PTO and ensure employees are paid accordingly.
- Ensure proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
- Maintain records for each payroll including changes made during processing.
- Calculating wages, processing deductions (taxes, benefits, etc.), and issuing paychecks or direct deposits.
- Provide reporting and analytics - Make sure leadership has an understanding of the "health" our weekly labor management.
- Ensuring payroll practices comply with all relevant federal, state, and local tax laws and regulations.
- Prepare and submit payroll tax filings and year-end reports (e.g., W-2s, 1099s).
- Collaborate with HR and Finance teams to ensure accurate benefit deductions and reporting.
- Stay updated on changes in payroll laws and best practices.
- Enters, maintains, and/or processes information in the payroll system; information may include employee's hourly rates, salaries, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
- Preparing reports related to payroll, including summaries of earnings, taxes, deductions, and other payroll-related data.
- Troubleshooting and Grievance Resolution - Make sure we resolve all employee concerns within 48 hours.
- Answering employee questions about payroll, resolving discrepancies, and helping with payroll-related forms or documents.
- Manage payroll inbox / email and resolve payroll issues by troubleshooting and taking necessary corrective steps.

- Proven experience in a payroll role - Someone who loves making processes better.
- Strong organizational and multitasking skills - Someone who doesn't having to manage lots of moving pieces.
- Excellent communication and interpersonal abilities - Someone who likes to be part of a team and service operations.
- High attention to detail and confidentiality - Someone who recognizes how to deal with sensitive information and keep it sacred.
- Proficiency in MS Office and HRIS systems - Someone who loves excel a must. Someone who knows ADP or picks up system easily critical.
