Position Overview:
The Payroll Specialist will ensure the accurate and timely processing of weekly payroll across multiple states utilizing the Inova payroll platform. This role will be the point person for employee payroll questions and day-to-day support in a busy environment. They will administer and track PTO and sick-time, process expense reports, and keep up-to-date information within the Inova payroll system. The Payroll Specialist will enter new hires prior to their start date and ensure information is synced accurately to Aspire, Riverview's landscape management software. When Riverview acquires new landscaping companies, the Payroll Specialist will assist in transitioning those employees to our payroll system in a smooth and timely manner. This role will report to the Human Resources Manager with additional oversight provided by the Director of Finance.
Job Responsibilities:
- Process payroll on a weekly basis
- Enter and maintain accurate information in Inova payroll system including employee's hourly rate, salary, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholdings, address changes, and other information
- Ensure proper processing and record keeping of expense reports and reimbursements
- Maintain all payroll information related to the calculation, withholding and remittance of federal, state, and local payroll taxes; enter data, update information, and prepare reports as needed
- Handle proper new hire set-up in Inova
- Handle proper set-up of acquisition employees in Inova and ensures smooth transition
- Post 401k contributions weekly for employee and employer match
- Prepare employee communications as needed
- Coordinate with managers to resolve timecard and pay discrepancies
- Administer time and attendance policy and leaves of absence requests
- Generate payroll reports such as payroll summaries, tax reports, labor cost analysis as necessary
- Audit HR, payroll, benefit, and worker's compensation data for accuracy
- Proactively identify and troubleshoot issues; make recommendations for improvements
- Ensure we are compliant with various federal and state programs including work authorization
- Other related Human Resource duties as assigned
Qualifications:
- 5 years+ professional experience overseeing and processing payroll
- Bachelor's degree in business administration, Human Resources or relevant field
- Experience with Inova Payroll or equivalent payroll platform strongly preferred
- Familiarity with varying regulations and requirements across states
- Strong written and verbal communication skills
- Self-starter with proactive approach
