Job Title: Payroll Specialist
Location: Hybrid (Onsite Monday and Friday)
Shift: Monday-Friday, 8:00 AM - 5:00 PM
Overtime: Possible
Position Summary We are seeking a detail-oriented and experienced Payroll Specialist to manage end-to-end payroll processing for both U.S. and Canadian employee populations across multiple companies, states, and provinces. This role supports various pay frequencies and ensures compliance with all relevant tax laws and internal controls.
Key Responsibilities -
Process accurate and timely payrolls for hourly and salaried employees on weekly, bi-weekly, semi-monthly, monthly, and special incentive cycles.

Administer payroll transactions, file uploads, and key changes including direct deposits, tax setups, and deductions.

Maintain payroll records and databases; ensure data integrity across PeopleSoft, Workbrain, Kronos, and QlikView systems.

Validate and analyze payroll variances and collaborate with locations to resolve discrepancies.

Ensure full compliance with federal, state, local, and provincial tax regulations, SOX controls, and internal policies.

Respond to employee inquiries and resolve payroll issues with a strong focus on service excellence.

Provide payroll-related reporting, analysis, and support for special projects and audits.

Maintain time and attendance systems and support vacation balance uploads and rate calculations.

Serve as subject matter expert on U.S. payroll, and support Canadian payroll processing as needed.

Adhere to critical payroll deadlines and organizational schedules.
Qualifications -
Bachelor's degree preferred.

FPC/CPP certification or equivalent experience preferred.

3-5 years of full-cycle payroll experience including U.S. and Canadian payroll processing.

Proficiency with PeopleSoft, Kronos, Workbrain, and Workforce Solutions (preferred).

Advanced Microsoft Excel skills (formulas, pivot tables, linked spreadsheets, charts).

Solid understanding of payroll and HRIS systems, tax laws, and regulatory compliance.

Strong communication, problem-solving, and organizational skills.

Ability to prioritize, multitask, and work under time constraints.

Self-motivated team player with a commitment to customer satisfaction.

Experience in creating and delivering payroll training materials is a plus.
