Payroll Manager to remotely oversee payroll operations across multiple states, focusing on California and Colorado. This position ensures payroll compliance with federal and state labor laws, optimizes payroll systems, and supports seamless integration with employee benefits to deliver an exceptional employee experience.
Reporting to and collaborating closely with the Payroll and Benefits Manager, the Payroll Manager will spearhead initiatives to maintain accuracy, enhance processes, and ensure compliance in a fast-growing organization. The ideal candidate is detail-oriented, proficient in payroll systems (e.g., Paylocity, 7Shifts, Toast), and experienced with multi-state payroll compliance, particularly in California and Colorado. Key Responsibilities Payroll Processing & Administration - Process accurate bi-weekly payroll for over 1,500+ employees across restaurant, retail, and events divisions.
- Verify payroll entries, including timekeeping, benefits deductions, tips, service charges, bonuses, and other daily earnings for California.
System Management & Optimization- Manage and optimize systems to meet the needs of a growing multi-state hospitality organization.
- Ensure seamless integration of payroll software with benefits platforms and other internal systems.
- Serve as the primary contact for payroll system vendors, troubleshooting technical issues and overseeing system updates and migrations.
Compliance, Reporting, & Data Analysis - Conduct regular audits to ensure payroll accuracy and consistency across all locations.
- Provide detailed payroll metrics and reports to the Payroll and Benefits Manager, including labor distribution, benefits deductions, and compliance performance.
- Collaborate with the Payroll and Benefits Manager to address escalated compliance or policy issues.
Employee Relations & Communication - Act as the primary point of contact for payroll-related inquiries, resolving employee concerns professionally and promptly.
- Train managers on payroll submission and timekeeping protocols, ensuring consistent policy adherence.
- Develop bilingual communication materials to explain payroll processes, deductions, and benefits eligibility to employees.
Benefits Coordination - Track employee benefits eligibility using payroll data and generate reports to support benefits administration.
- Support the Payroll and Benefits Manager during benefits administration tasks, including open enrollment, renewals, and adjustments.
- Ensure accurate payroll integration with benefits systems to maintain compliance and deliver a seamless employee experience.
Education & Experience - Minimum of 5 years of payroll experience, including 3+ years managing payroll.
- Bachelor's degree in Accounting, Business Administration, or a related field is preferred (or equivalent experience).
- Experience in hospitality (restaurant, hotel, or retail) is highly desirable.
Skills & Knowledge - Bilingual proficiency in English and Spanish is required.
- Advanced knowledge of Paylocity, Toast, and 7Shifts.
- Strong understanding of California wage and hour laws, including meal/rest break penalties, split shifts, and final paycheck requirements.
- Familiarity with payroll-related benefits processes, including deductions and eligibility tracking.
- Proficiency in Google Workspace and Microsoft Excel for reporting and data analysis.
- Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and analytical skills.
- Excellent communication and interpersonal skills, with cultural sensitivity and a proven ability to support a diverse team.
Preferred Qualifications - Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
- Experience managing payroll during transitions, acquisitions, or organizational expansions.
Working Environment - Standard office environment with prolonged periods of computer use.
- Occasionally required to lift materials weighing up to 15 pounds.

- System optimization and integration improvements, leading to more efficient workflows and reduced manual interventions.
- Effective collaboration with the Payroll and Benefits Manager on strategic initiatives, including accurate reporting and seamless support for benefits administration.
