Position Summary:
The Payroll and Benefits Manager is responsible for the accurate and timely administration of payroll, benefits, and related compliance processes across the organization. This role ensures pay and benefit programs are executed in accordance with federal, state, and local regulations. This position also partners closely with HR, Finance, and external vendors to streamline processes and enhance the employee experience.
Key Responsibilities:
- Administer multi-state, bi-weekly payroll for exempt and non-exempt employees using Paylocity, ensuring compliance with wage and hour laws.
- Maintain and audit employee records related to compensation, timekeeping, and benefits within Paylocity.
- Serve as the primary liaison with Paylocity for system configuration, issue resolution, reporting, and upgrades.
- With guidance and assistance from external broker, manage benefit programs including health, dental, vision, FSA/HSA, 401(k), life insurance, and leave of absence policies.
- Partner with brokers and vendors for open enrollment, plan renewals, and annual filings (eg, 5500, ACA).
- Provide guidance to employees on benefit options, payroll inquiries, and leave processes.
- Prepare payroll reports, journal entries, and reconciliations for Finance; ensure proper general ledger coding.
- Ensure compliance with federal, state, and local regulations including ACA, FMLA, ERISA, HIPAA, and IRS rules.
- Implement and monitor internal controls related to payroll and benefits administration.
- Stay current with industry trends and regulatory changes affecting payroll and benefits.
- Train and support managers on Paylocity self-service tools, reporting, and approvals, which may require same day travel to various local sites.
Qualifications:
- Bachelor's degree in Human Resources, Accounting, Business, or related field preferred
- Minimum 5 years of payroll experience ; at least 2 years managing the function.
- At least one year experience with benefit administration
- Strong experience using Paylocity or similar HRIS/payroll system required.
- Solid understanding of payroll regulations and compliance practices.
- High attention to detail, excellent organizational and communication skills.
- Ability to maintain confidentiality and handle sensitive data with discretion.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- This position operates in both an office and industrial/warehouse environment.
- Occasional same-day travel to local sites may be required based on business needs.
- Must be able to sit or stand for extended periods and occasionally lift up to 20 pounds.
