Payroll and Benefits Coordinator Part-Time position
Start: 2025
We are seeking a dedicated Payroll and Benefits Coordinator to join our team at Notre Dame High School. As a key member of our staff, you will be responsible for ensuring accurate and timely payroll processing, maintaining employee records, coordinating benefits with payroll, and overseeing compliance with state and federal regulations.
Key Responsibilities: Human Resources
- Process and maintain all employee and substitute records, such as background checks, Federal and State income tax withholding forms, Employment Verifications forms (I9).
- Safe Environment Coordinator, to ensure the compliance standards set by the Diocese are implemented. Including meeting attendance, posting, and implementing updated requirements and laws.
- Diocesan Compliance Report.
- Monitor completion and maintenance of I-9 forms, Criminal History Clearances, Payroll and Attendance records files.
Payroll
- Collect, calculate, and enter payroll data for hourly and substitute employees; collect and enter payroll data regarding special payment information for salaried and seasonal employees.
- Review payroll registers and related data for accuracy and completeness; identify discrepancies or other problems and make corrections and adjustments, as necessary.
- Enter and update all employees personal, benefits, and employment data into Paylocity.
- Enter new employees into Frontline/Aesop.
- Audit Frontline/Aesop records against timeclock to insure consistency in attendance data
- Enter new employee data into Paylocity; enter specified employee documents into Paylocity, including contracts, codes of conduct, benefit waivers, PIPs, etc.
- Updates payroll records by entering changes in exemptions, savings deductions, and job title and department/division transfers.
- Cross-reference benefit payments with benefit deductions to ensure accuracy and resolve any discrepancies
- Maintains employee confidence and protects payroll operations by keeping information confidential.
Financial
- Report - Convert Diocesan payroll account codes into Notre Dame payroll account codes for each entry on the bank reconciliation reports.
- Reconcile bank accounts
- Special projects, as assigned by VP of Finance & Operations.
APPLICANT REQUIREMENTS: - Bachelor's degree in accounting, Finance, Human Resources or a related field
- Minimum three years' experience in payroll processing, preferably in an educational or non-profit setting
- Proficient in payroll software and HRIS systems (experience with Paylocity preferred)
- In-depth knowledge of payroll regulations and tax laws
- Strong analytical skills and attention to detail
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Exceptional communication and interpersonal skills, with a customer-service oriented mindset.
- Strong ethical standards and the ability to handle sensitive information with discretion.
- Demonstrated flexibility to cope with the challenges of a rapidly changing world.

A background and fingerprint report will be conducted and submitted to State authorities as required by law for all personnel working within a school environment.
Must be willing to undergo Catholic Diocese VIRTUS certification and uphold Christian Witness Statement.
