Overview The Payroll Administrator is responsible for the accurate and timely processing of NVHC's bi-weekly payroll,including required reporting and the annual worker's compensation audit. This position is also responsible for daily deposits and participates in the annual audit. As such, this person should be competent in accounting principles, office technology, math, data entry and multi-tasking. Responsibilities General Duties: Completes payroll function bi weekly Works with HR to ensure payroll related issues are completed and resolved Helps employees and managers with regards to payroll related questions Provides training to employees and managers for payroll and related processes Manages the ADP electronic timekeeping system Completes and submits quarterly worksite report Assists in the establishment, maintenance and monitoring of policies regarding employeeexpense reimbursement to ensure compliance. Works with clinic managers to ensure all travelexpense reports are received in a timely matter. Uses Concur Expense system and reports. Ensures accuracy of quarterly and annual payroll reports Prepares daily deposits and takes them to the bank May perform other accounting tasks, as assigned Customer Service: Has general knowledge of services offered by NVHC Sets the example of exemplary customer service for both internal and external customers Ensures cleanliness of work environment during operational hours Quality Management: Proactively alert for ways to improve customer service, increase productivity, and improveutilization of resources, communicating and/or implementing opportunities Participates in quality management projects, as requested Notifies supervisor of unusual occurrences and adheres to policies Ensures compliance with HIPAA, OSHA and other regulatory agencies Attends and actively participates in staff meetings, as requested Follows all NVHC policies, procedures, and standards of behavior Qualifications Desired Education or Certifications Criteria: 3+ years of experience in a payroll position required Payroll experience with 300+ employees preferred ADP Payroll experience required Experience with the implementation of a new payroll system is a plus Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved Candidate must be deadline-sensitive Desired Knowledge, Skills & Abilities: Knowledge of generally accepted accounting principles and bookkeeping in daily functions Knowledge of regulatory requirements to ensure compliance with applicable laws and governing bodies regarding payroll Ensures compliance with NVHC fiscal policies and procedures regarding payroll, employee reimbursement Knowledge of automated accounting, payroll systems and vendor relationships Knowledge of regulatory responsibilities and reports related to payroll Knowledge of the essential functions, practices, equipment and supplies of an office and medical clinic. Skill in operating personal computer utilizing word processing, spreadsheets, databases, email, payroll software, and related vendor software Skill in accuracy, data entry and attention to detail. Skill in communicating effectively over the phone and on video. Ability to address multiple priorities; manage time and complete work in a timely and accurate manner while under the pressure of meeting established deadlines Ability to solve practical problems and deal with a variety of variables Ability to handle stressful situations appropriately and maintain confidentiality of information Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form Ability to work and interact effectively and positively with other staff members to build and enhance teamwork in the central office, clinics and in the overall NVHC organization Ability to understand and respond appropriately, effectively, and sensitively to special population groups as defined by race, ethnicity, language, age, sex, etc.
