General Function

The IT Help Desk Administrative Assistant serves as the first point of contact for the Information Technology department, providing professional, customer-focused support for both walk-in visitors and telephone inquiries. This position plays a key role in representing the department and the institution, ensuring consistent and courteous service while addressing a range of IT-related needs.

Primary responsibilities include responding to help desk calls, assisting with basic technical issues such as password resets, and appropriately routing more complex requests to designated IT personnel. In addition, this role provides administrative support to the Chief Information Officer, contributing to the overall efficiency and effectiveness of departmental operations.
Essential Duties and Responsibilites
  • Generate a positive impression by welcoming visitors, faculty, staff and students walking into the IT office or calling into the support line.
  • Ability to work and communicate effectively with the public, a diverse faculty, staff, and student population
  • Provide basic user support or determine escalation to the appropriate support resource.
  • Enter requests for assistance into the helpdesk tracking system as needed.
  • Assist Chief Information Officer maintaining software license renewals, support contracts and upgrades.
  • Assist with new equipment acquisition, requesting quotes from vendors as needed at the direction of the CIO and enter purchase requests into e-procurement.
  • Help to verify accuracy of received purchases, and organize distribution, including adding new equipment into the inventory system and attaching inventory control tags.
  • Help to coordinate with other divisions to schedule equipment upgrades or office moves.
  • Monitors, orders and maintains office supplies for the department
  • Other duties as assigned
Minimum Qualifications
  • Associate's Degree in Applied Science in Office Systems Technology, Office Administration or related field or receptionist/ administrative assistantexperience
  • Working knowledge of Microsoft Office applications
  • Excellent written and verbal communication skills
  • Demonstrated task management, planning, and organization skills ensuring deadlines and milestones are met. Communicate progress, challenges, and solutions effectively.
Preferred Requirements
  • Three years of experience in an academic setting, community college preferred
  • Basic IT helpdesk knowledge or experience
