Job Description

Position Title: Part-time Executive Assistant (7-10 hours per week)

Location: Hybrid - primarily remote with weekly in-person meetings in Decatur, GA 30030

Compensation:$25-$30 per hour

Position Summary: The company is seeking a highly organized, detail-oriented, and proactive Part-time Executive Assistant to provide essential support to our lead consultant as the client base expands. This role is ideal for someone with a strong operational focus who excels at identifying and implementing workflow improvements and enhancing the client experience. The ideal candidate will serve as a strategic thought partner and integral team member, adept at managing processes, facilitating client communication, handling scheduling, and coordinating events.

Key Responsibilities:
  • Client Management (40%):
    • Ensure client success and happiness.
    • Provide tactical customer service to all clients and external stakeholders.
    • Automate the client process.
    • Manage the sales funnel, including booking prospect meetings and new consulting sessions to meet monthly sales goals.
    • Maintain internal and external client information and records.
    • Coordinate meetings.
    • Prepare for consulting sessions (e.g., printing custom folders, icebreaker ideas).
  • Administrative (30%):
    • Oversee various administrative tasks, including travel arrangements, reporting, meeting preparation, and event planning.
    • Manage sensitive and complex calendars, resolve conflicting demands, and coordinate meeting logistics.
    • Purchase gifts and supplies.
    • Manage internal and external communication in a timely and efficient manner (email and phone).
    • Balance shifting priorities and deadlines.
    • Anticipate the lead consultant's needs.
    • Assist with project presentations.
    • Manage events (invitations, enlisting venues and caterers) and event attendance, including potential on-site registration assistance.
  • Sales and Marketing Support:
    • Handle follow-ups with prospects in a timely manner and alert the lead consultant when responsiveness is needed.
    • Maintain CRM.
    • Contribute to marketing efforts such as website maintenance and social media posts (e.g., Instagram, LinkedIn).
    • Potentially automate proposal processes.
Required Skills and Experience:
  • Operationally focused with a proactive approach to finding better ways to do things.
  • Highly process and detail-oriented.
  • Tech-savvy; able to work with HubSpot, CRM, and Apple environment.
  • Responsive and takes ownership of issues/opportunities.
  • Solution-oriented/creative problem-solving skills, including willingness to use AI for efficiency.
  • Professional representation of the lead consultant and the company.
  • Ability to work independently and manage flexible hours.
  • Capacity to add on hours as the role grows.
