Position Title: Part-time Administrative Assistant - Nu Rho Psi National Office
Reports to: Nu Rho Executive Director

Position Summary: We're thrilled to offer a unique and rewarding opportunity to support the Nu Rho Psi National Honor Society in Neuroscience as the Administrative Assistant for its National Office, proudly hosted at Dominican University. This part-time, flexible role is essential to the daily operations of a nationally recognized academic honor society that champions neuroscience education and undergraduate excellence.
As the first point of contact for chapters, students, and advisors across the country, you'll play a central role in ensuring smooth communication, efficient order processing, and reliable support. No prior experience with Nu Rho Psi is required, and training will be provided, and you'll be backed by a supportive team throughout.
Whether integrated into an existing part-time role (with supervisor approval) or taken on as a standalone hourly opportunity, this position offers flexibility, impact, and a chance to be part of a mission-driven national network. Work can be completed outside of standard office hours, allowing you to maintain a strong work-life balance while contributing to a meaningful academic cause.
Duties and Responsibilities Core Responsibilities - Membership Processing & Fulfillment
- Process induction forms and update the Nu Rho Psi membership database
- Prepare and mail induction certificates, pins, and ordered paraphernalia (e.g., honors cords)
- Track and confirm deliveries; communicate with chapters on order and delivery status
- Order Management
- Monitor and fulfill orders from the Nu Rho Psi online store
- Maintain inventory and place replacement orders for stock as needed
- Finance & Reporting
- Reconcile the Nu Rho Psi PayPal account monthly
- Prepare and distribute monthly reports on membership activity and merchandise sales
- Communication & Coordination
- Monitor and respond to emails sent to the Nu Rho Psi general inbox; escalate as needed
- Schedule and coordinate monthly Zoom meetings for the National Council
- Maintain and update the master list of chapter advisors
- Digital & Website Support
- Assist with posting announcements or updates to the Nu Rho Psi website
- Support the national social media coordinator as needed

Additional Role Structure and Support - Workload Seasonality
- The busiest time of year is spring (induction and ordering season)
- Lighter administrative duties continue in summer/fall, allowing for balanced annual workload

- All supplies, postage, and materials are funded through the Nu Rho Psi budget
- The assistant will have access to a Nu Rho Psi credit card for purchasing program-related supplies
- A dedicated computer and printer can be provided if needed, although using Dominican University systems is preferred for convenience
Skills and Qualifications - Strong attention to detail and organizational skills
- Excellent written communication and email professionalism
- Familiarity with Microsoft Word and Excel
- Experience with online databases, spreadsheets, and fulfillment tracking
- Comfort using basic website tools or content management systems
- Ability to work independently and reliably manage recurring tasks
- Prior administrative, student services, or office experience

Compensation - This is an hourly-paid role
- The assistant will log hours worked, which will be paid monthly from a Nu Rho Psi-funded account held by Dominican University
- Nu Rho Psi will contribute a consistent monthly deposit to that account, allowing payment to scale fairly based on actual workload, particularly during high-volume spring months
Salary and FLSA Status: - Salary: $24.00 per hour; total hours not to exceed 120-200 hours per year
