PRIMARY PURPOSE:Serve as the first point of contact for the district. This role is responsible for greeting and directing visitors, handling and directing inquiries and maintaining a professional and welcoming environment. Under direct supervision, respond to inquiries from parents, staff and the general public. Provide high-level administrative and clerical support for the district and the Communications Department.
QUALIFICATIONS:Education/Certification: - High school diploma or GED
- Some college preferred
- Bilingual preferred
Special Knowledge/Skills: - Strong customer service, interpersonal, communication and organization skills
- Knowledge of general district facts and information, district organizational structure, department responsibilities and locations
- Ability to operate multi-line phone system
- Knowledge and proficiency with computers and software, including Google Workspace and Canva
- Demonstrated skills in writing, proofreading, editing, desktop publishing and graphic design
- Ability to work as a member of a team and maintain a positive office environment
- Ability to follow oral and written instructions
- Ability to speak, read and understand English
Experience:Two years of clerical/secretarial experience in an office setting
MAJOR RESPONSIBILITIES AND DUTIES:District Reception and Customer Support - Serve as first point of contact for Dripping Springs ISD
- Receive and direct incoming phone calls efficiently and in a friendly and professional manner, answer routine questions, take reliable messages, and route to appropriate staff.
- Greet and direct visitors, respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
- Receive deliveries and disseminate materials and information to the appropriate parties.
Communications Support - Provide clerical support to the Communications Department.
- Prepare correspondence, forms, purchase orders and/or reports as needed.
- Maintain and update district Google calendars.
- Coordinate planning for the district's annual Staff Convocation and other district events, such as ribbon cuttings and ground breakings.
- Oversee the district's Over 65 Tiger Gold Program, including the creation of member cards, member relations, and database management.
- Serve as the point of contact for the district spirit shop including working with vendors and filing purchase orders.
- Order office supplies for the Communications Department.
Other - Provide clerical support and assist with special projects as needed.
- Translate district communications as needed for web or mail distribution.
- Assist with setting up for meetings and special events.
- Submit facility work orders and serve as contact for building custodian.
- Oversee office equipment routine maintenance.
- Maintain confidentiality.
