PARISH ADMINISTRATOR

We are excited to share a new opportunity. PrideStaff has been asked to help a busy parish grow their presence in the local area. The purpose of the Parish Administrator is to oversee all parish administration and maintain an organized and efficient parish office. This includes: organizing information, managing team logistics, communicating information relating to the church calendar and building usage, and working toward keeping the day-to-day operations at the church organized and clear. Hours are 40 per week with some nights and weekends as needed.

Administrative Responsibilities:
• Provide for the Church Office to be open for regular hours on weekdays.
• In partnership with the Rector, the PA is responsible to "ring the bell" on issues related to the annual finance calendar, annual meeting, nominating team, stewardship campaign or others that may arise.
• Provide clerical support for parish ministries, clergy, wardens, vestry, staff and other ministry leaders.
• Oversee the phone system
• Maintain Files and records in paper and electronic form.
• Manage Realm additions and updates including membership and newcomer
• Publish a Parish Directory
• Manage equipment leases (copiers, mailing machines)
• Manage contracts with outside vendors
• Manage Calendar and Scheduling -
• keeping it current and helping users understand current events, and avoid space scheduling conflicts including Zoom meetings.
• Oversee and coordinate setup/breakdown of events including staff support, catering etc.
• Manage use of the church facilities and grounds by outside groups, supervise user agreements from signature to payment.
• Order and manage the flow of office supplies.
• Coordinate support for monthly vestry meetings
• Notification in e-blast
• Be in contact with visitors
• monthly communication with ministry leads for vestry reports
• Create vestry meeting packets and send to vestry
• Internal/External Publications
• Oversee the creation of the Annual Meeting report booklet
• Proofread all communications (mailings, eblasts, programs/leaflets)
• File all the minutes of various committee meetings
• IT:
• Maintain Inventory of all technology with the IT Consultant
• Work alongside IT staff on all phone and data issues
• Troubleshoot contracts with vendors for printers, stamp machine, etc.
• Annual view of office administrative budget lines, responsible to recommend budget change to the Rector
• Oversee office budget lines
• Supporting management of the Church's finances as specified by parish policy
• Generate invoices for weddings and funerals and user groups (as needed).
Staff Responsibilities
• Support the Rector in onboarding new staff
• Apprise the Rector on HR needs/issues/concerns with staff
• Keep Rector informed on day-to-day events in the office
• Supervise and give day to day responsibilities to the Office Assistant /Communications Coordinator
• Attend weekly staff meeting
• Plays a vital role in weekly staff meetings and helps communicate information pertaining to the church calendar, building usage, and other
• Alert staff as needed for the parish to run smoothly.
• Manage office resources to support staff projects.
• Manage communications between staff and vendors regarding repairs, scheduling maintenance, usage, etc.
• Available for direct administrative support for the clergy and staff
• Attend staff retreats
• On call for any other tasks needed at Rector's discretion Job Expectations:
• Staff Meetings and Monthly gatherings and staff retreats
• Professional development will be provided Qualifications
• Strong reading, writing, and communication skills in English. Spanish a plus.
• Proficient in the Microsoft Office Suite, and Google Workspace.
