ACCOUNTABILITY: Reports to the Business Manager and Pastor
HOURS: Full-time (Exempt) generally weekdays during open office hours
JOB SUMMARY AND RESPONSIBILITIES: The Parish Administrator supports all aspects of the following St. Thomas vision statement, but especially the bolded phrase.
St. Thomas the Apostle Catholic Church is a

In cooperation with the pastor, the Senior Leadership Team, the Operations sub-team, and the Pastoral Council, the Parish Administrator takes primary responsibility for:
General Parish administration (excepting business operations), which includes
- Designing and maintaining forms for various initiatives within the parish (e.g. registration forms, Mass intention requests, etc.)
- Maintaining sacramental records and issuing sacramental certificates
- Managing the St. Thomas' parishioner databases (ParishSoft)
- Overseeing the parish facility calendar/event scheduling process
- Managing the clergy schedule for liturgical and parish-wide events
Managing the Front Office
- Hiring, training, supporting, and supervising part-time front desk personnel maintaining the front desk schedule and filling in shifts as needed
- Continuously evaluating and improving STA2 administrative processes and updating training and policy manuals
- Creating and maintaining an atmosphere of hospitality in the front office space
Provide administrative support to the St. Thomas Staff
- Managing inventory of office supplies and making orders as needed
- Supporting other staff members with printing, mailing requests, phone calls,
- database inquires
- Managing IT requests with our outside phone, printer and computer providers
- Maintaining the copy/mail/supply room to keep everything organized and in working order
Personal Assistant to the pastor
- Weekly meetings
- Triaging email and phone calls
- Managing the pastor's schedule beyond liturgical/parish-wide duties
- Errands

The Parish Administrator shares responsibility with the rest of the team for the multi-system goals outlined in our Pastoral Strategic Plan and for implementing our parish vision:
- Fostering a culture of hospitality: invitation, welcome, accompaniment.
- Fostering a culture of prayer
- Fostering a culture of appreciation and encouragement.
- Fostering the connection between parish staff and active parishioners, inculcating the vision and mission plan.
- Developing leadership and volunteerism within the parish.
- Developing meaningful relationships with volunteers and other staff members,
- especially those who report to the office manager, to support and accompany them on the path of missionary discipleship.
- Participating in staff prayer/retreats as possible; listening to the Holy Spirit individually and as part of the team, in order to discern the will of God for St. Thomas parish.
- Engaging authentically and energetically in staff meetings and discussions.
- Supporting the pastoral direction of the parish in interactions with parishioners and other staff members; contributing to an atmosphere of cooperation and positivity.
- Committing personally to the ideal of missionary discipleship and a readiness to evangelize in the context of the workplace.
SKILLS/GIFTS - Possesses strong organizational and administrative skills, demonstrating self-motivation and diligence and the ability to set and achieve goals in a timely manner
- Has strong computer skills and competency in use of Word Processing, spreadsheets and databases, including GoogleSuite, Microsoft Office, ParishSoft and basic coding capabilities (or willingness to learn)
- Communicates well both orally and in writing
- Responds to communication in a timely manner
- Able to prioritize and multitask

EDUCATION/CERTIFICATION/EXPERIENCE - Experience in office management
- Some experience as a personal assistant is preferred but not required
- Needs to pass a background check and attend local training for the protection of children and youth
May have to sit for long periods of time, use hands in repetitive motion tasks, and answer telephone calls. The position also requires some standing, stooping, and bending and lifting a minimum of 40 lbs.
Must work on-site as needed; occasional weekend work is required.
