The primary functions of the Paclease Administrator are as follows:
-Occasionally (as needed by service manager) dispatch / Maintain Repair Orders (RO's) to technicians as per customer need and technician availability and capability.
-Assure that all information relating to work orders is correct and current. (This includes the following: Unit Number, Mileage, Warranty Information, Estimated Repair Times, and VIN Numbers being checked to ensure accuracy.)
-Updating customers on repairs being performed, parts availability, estimated time to completion and update upon completion of repairs.
-Tracking, updating, and Scheduling of Preventative Maintenance (PM's) with customers and drivers daily to help ensure PM currency stays at high levels.
-Ensuring that Kenworth Sales and Pac Lease facilities are clean, well maintained, and safe for performance of duties.
-Ensure all customer re-bills are authorized and purchase orders are acquired prior to closing invoice.
- Ensure all warrantable repairs are submitted for warranty or policy as deemed necessary.
- After service manager review, provide purchase orders to vendors as needed for outside repairs, tires, shop supplies, and other shop expenses.
- Close open tickets as repairs are completed. Ensure that time punches are correct. Adjust times as needed on tickets. Import Service Technicians stories, and edit as needed to ensure professional appearance before closing. Maintain no more than 25-30 open tickets on Service Point shop pad.
QUALIFICATIONS
Ability to read and comprehend English instructions and information.
High school diploma or equivalent.
Must have a working knowledge of all heavy truck repair methods.
Must have the ability to identify and meet Customer needs and requirements.
Must be a hard worker and a self-starter and a problem solver.
Organizational and time management skills a must.
Exceptional phone and Customer service skills required.
Appearance must meet the company image and requirements.
WORKING CONDITIONS
Part of this position is physically demanding. May require lifting up to 50 pounds. Will stoop, kneel, crouch, crawl, reach, handle and feel. Will be exposed to noise, vibration, dust, exhaust fumes, paint, and other hazardous and non-hazardous materials. Must climb in and out of customer's vehicles to record information. The other part of this position will require desk work, including use of computer video monitor, telephone, ten-key calculator and completing paperwork. Must wear a dealership uniform.
