Summary: Provides administrative and service support to customers, sales reps and the customer service department.

Essential Duties and Responsibilities:

Process incoming orders in computer system(s) within 24 - 48 hours from receipt.

Audit orders for accuracy (price, quantity, style, description, color, etc.).

Make necessary corrections to customer orders for accuracy.

Acknowledge customer orders within 72 hours from receipt.

Operate office machines such as computer, adding, calculating and copy machines.

Input and retrieve data from computer programs.

Compile, prepare and create reports for presentation.

Must be able to communicate and work with other factory departments on a regular basis.

Service customers and sales rep inquiries via phone, fax and/or e-mail (order status, product availability, lead-time, anticipated delays, etc.).

Prepare and send miscellaneous correspondence to customers and sales reps.

Participate in departmental group meetings.

Travel to and provide customer service at tradeshows/OW Lee showrooms as needed.

Work with shipping liaison and/or alone to create/obtain a written freight quote for customers.

Confer with the production scheduler, sales, shipping liaison and/or shipper to expedite, trace and/or track delayed shipments.

Daily filing of open orders and invoices.

Other duties as assigned.

Minimum 1-3 years of experience in customer service/data entry. Ability to work with minimal supervision. Proficient in basic Microsoft applications. Good oral & written communication skills, organized, multi-tasking and detail oriented

Education and/or Experience: High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and interpret documents such as purchase orders, letters, invoices, bill of lading, and any other document required in the Order Entry department. Ability to write letters, memos and other correspondence.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Quality: Demonstrates accuracy and thoroughness; Looks for ways to improve and promote quality; Applies feedback to improve performance; Monitors own work to ensure quality.

Attendance/Punctuality: Is consistently at work and on time; Ensures work responsibilities are covered when absent; Arrives at meetings and appointments on time. The assigned shift is Monday to Friday 8 am to 4:45 pm and you may have to work on Saturday when needed.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

The employee must occasionally lift and/or move up to 30 pounds. The employee is required to have closed-toe shoes available to walk the production floor if needed.
