Responsibilities
The Administrative Assistant will support the Director's Office by assisting the Special Assistant to the Director and User Chief of Staff with key administrative tasks, merchandise coordination, and event logistics. This dynamic role helps ensure smooth operations and strengthens the MagLab community. The ideal candidate is organized, communicative, and discreet, with strong multitasking skills and experience in office operations and data tracking.
Key Responsibilities:
Administrative & Executive Support
- Assist with scheduling calendars, help coordinate meetings and assist with ongoing projects.
- Facilitate administrative processes, including purchasing, ePars, and reimbursement documentation.
- Coordinate materials for conferences and workshops.
- Assist in implementing lab-wide initiatives such as the food pantry program and employee engagement.
Resource & Operational Support
- Maintain the faculty CV repository (FEAS) and assist in training staff on its use.
- Manage inventory and support sales of MagLab merchandise.
Project & Team Collaboration
- Assist with special projects and strategic initiatives for the Deputy and Operations Directors.
- Provide administrative support to additional teams within the MagLab as needed.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to manage confidential information with professionalism and discretion.
- Experience in data tracking and office operations is a plus.
Qualifications
