Our client, a leader in cryptocurrency, is seeking an experienced and passionate Operations and Workplace Coordinator to join their Mountain View team. As the Operations and Workplace Coordinator, you'll play a vital role in delivering seamless support for our employee experience programs. From managing service desk inquiries to coordinating hotel logistics for off-site events, your work will ensure that employees receive high-quality, responsive support every step of the way. This position is essential to ensuring a smooth, well-organized, and positive experience for employees across all touchpoints.
Please note that this is an on-site, 7-month contract role in Mountain View, CA. Pay will be $35/hr.
Key Responsibilities:
- Manage the Jira Service Desk queue for all EWX-related inquiries. Respond to requests promptly, escalate issues when necessary, and maintain updated documentation of standard operating procedures.
- Assist with a variety of ongoing operational needs, including event logistics, enhancements to the employee experience, and general administrative support.
- Serve as the main point of contact for employees needing assistance with off-site hotel bookings, including updates, modifications, or cancellations.
- Liaise with hotel partners to track room block inventory, manage reservation changes, and handle last-minute adjustments following company policies.
- Provide timely, clear, and empathetic assistance to employees during RSVP and hotel booking processes for off-site programs, ensuring a first-class service experience.
- Collaborate with hotel representatives, internal stakeholders, and the EWX team to ensure accurate rooming lists, confirmations, and smooth on-site check-in experiences.
- Create and update standardized resources and FAQ materials to help People Operations effectively respond to common lodging and travel questions.
Qualifications:
- Demonstrated experience in operational support roles such as event planning, hotel block coordination, or travel management.
- Impeccable attention to detail and the ability to handle complex logistics and last-minute changes with ease.
- Strong verbal and written communication skills, with an emphasis on clarity, professionalism, and customer service.
- Comfortable managing multiple tasks in a fast-paced environment, while maintaining organization and prioritization.
- Proficiency with tools such as Jira, Slack, Google Workspace, and other project and workflow management platforms.
- Background in hospitality, venue management, travel coordination, or similar operational fields.
- Experience with large-scale hotel bookings or corporate lodging programs.
- Ability to build scalable documentation and workflows to streamline team operations.
