Under the direct supervisor of the Operations Director and Technology Director, the secretary provides clerical, secretarial and administrative assistance, conveying information regarding Operations and Technology functions, procedures, maintaining databases and supporting the departments in an array of services provided to students, parents, instructional and support employees, and coordinates with other school employees.

Qualifications:
  • High school diploma or equivalent. Associates degree with course work in business, math, or related field preferred.
  • Ability to shorthand or speed writing skills.
  • Experience with office management.
  • Ability to describe problems/work orally or in writing.
  • Demonstrated ability to establish and maintain cooperative working relationships with others.
  • Proven ability to understand, apply technology including use various software programs such as Outlook, Internet, Microsoft Suite, etc.
  • Demonstrated ability to resolve job-related issues and develop systematic procedures.
  • Expertise in common office equipment, such as computer, copy/scan/printer, etc. and learn emerging technology related to the position.
  • Knowledge of and be adept to accounting procedures.
  • Collaborative and positive attitude.
Description:
  • Provide administrative support to the Director of Operations and the Director of Technology.
  • Communicates directly with suppliers (e.g., custodial, lawn service, etc.) for the purpose of coordinating deliveries, services, etc.
  • Serves as a liaison between district employees and Buildings and Grounds employees.
  • Review and complete work orders timely.
  • Review monthly invoices to ensure paid timely and prepare purchase orders for the Operations and the Technology departments.
  • Manages energy usage through systems to track, audit, and analyze district utility consumption and costs.
  • Maintain Custodial Services manual for each district location. Coordinate monthly custodial services meetings with all administrators.
  • Post district bids.
  • Answer telephone calls and greet visitors, provide information and assistance.
  • Schedule appointments, meetings and conferences for Operations and IT departments.
  • Maintains inventories of supplies, including custodial, building, and safety supplies and signage for each location.
  • Setup alarm codes, access badges, and time clock badges for district employees.
  • Coordinate set up and repair of security cameras.
  • Review and approve payroll for Operations and Technology employees.
  • Coordinate building repairs for district.
  • Monitor, collaborate, and regularly update district's databases with employee contact information, technology assets, system access details, and data cleansing across the databases.
  • Process new employee technology requests.
  • Generate reports and extracts from various databases as needed for various purposes.
  • Provide low level technical support to employees and staff members.
  • Performs other duties as assigned for the purpose of ensuring the efficient and effective function of the school district.
