We are looking for a highly organized and detail-oriented Operations and Compliance Specialist to manage essential operations, compliance workflows, and customer support processes. This role involves a wide range of responsibilities, from product management and onboarding to claims handling and portal administration, with a strong emphasis on multitasking, Excel expertise, and compliance knowledge.

Key Responsibilities:

  1. Compliance and Certifications
  • Manage compliance-related certifications, such as DOT lithium-ion battery shipping certification (training provided).
  • Provide compliance documentation, including UL testing, MSDS, 38.3, and Prop 65, as required.
  • Ensure testing results are distributed to reps and customers while maintaining confidentiality of factory information.
  1. Customer and Product Management
  • Facilitate customer onboarding and product setup, gathering information across departments to meet customer requirements (via Excel sheets or portals).
  • Manage item updates, ensuring products remain current and are expanded to other platforms (e.g., adding in-store items to online listings).
  • Work with internal reps and departments to address Walmart testing and compliance requirements.
  1. Portal Management and Software Expertise
  • Administer customer portals, including adding users, pulling reports, and managing permissions.
  • Navigate tools such as High Radius , APDP , TOPS (Pallet Build-Out Software) , and WERCS for product and compliance management.
  1. Claims and Financial Management
  • Manage claims and deductions for multiple customers via portals like High Radius and APDP.
  • Research and dispute deductions, submit claims, and track follow-ups within portal deadlines.
  • Assist with pulling checks, deductions, and other financial data as needed.
  1. Marketing and Customer Support
  • Collaborate with design teams to provide marketing copies, product images, and features for customers and reps.
  • Act as a point of contact for both internal and external representatives, ensuring effective communication and support.
  1. Audits and Testing
  • Handle Walmart audits, ensuring compliance with all requirements.
  • Work with internal teams to ensure items meet online and testing standards for Walmart.
  1. General Administrative Duties
  • Distribute COIs (Certificates of Insurance) and ensure portals are updated.
  • Oversee day-to-day administrative tasks to support smooth operational workflows.
Qualifications:
  • Proficiency in Microsoft Excel
  • Familiarity with portals such as High Radius, APDP, TOPS, and WERCS (preferred).
  • Knowledge of compliance standards (e.g., DOT lithium battery shipping, Prop 65, UL testing).
  • Excellent organizational and multitasking abilities.
  • Strong communication skills and ability to collaborate with cross-functional teams.
  • Experience with claims management, deductions, and customer support processes.
  • Proficient in Microsoft Office Suite and other standard business tools.
