Position Summary:
The Operations Admin role provides organizational and administrative support to members of Manager Research group. This role is a unique hybrid of administrative support, with exposure to the executive level, and broad project/administrative work across Global Investment Research. Responsibilities may include travel scheduling, calendar management, meeting setup/breakdown, and other ad hoc tasks as needed, in addition to committee coordination, project scheduling, and other more broadly applicable tasks. While support is offered to members of Manager Research asset class teams, this role also includes various tasks and projects across the broader Manager Research Operations team.The Operations Admin role provides organizational and administrative support to members of Manager Research group. Key Responsibilities:
Support for Manager Research may include but is not limited to:
• Arrange internal and external meetings
• Organize and manage daily activities
• Answer/screen calls and follow-up with requests
• Prepare time sheets, expense reports, and Amex statements
• Make travel arrangements and create detailed itineraries
• Revise, edit, and proofread various documents and PowerPoint presentations
• Perform related clerical tasks such as printing, photocopying, mailing, and scheduling conference rooms
Support the Research Operations team in effective management of all phases of MRO ad hoc and ongoing projects. Typical activities will include:
• Create meeting agendas and materials and take minutes within meetings
• Oversee content and upkeep of MRO and Manager Research internal online department content such as committee materials, Research projects, or other content
• Assist in the planning and preparation of cross-group projects
• Work as part of the Research Operations team to ensure that Research processes and initiatives are fully supported
Qualifications:
• Bachelor's degree (any major) with 2 years of related experience preferred
• Strong listening, writing, and communication skills suited for a broad range of audiences and individuals
• Strong interpersonal skills and an ability to quickly build and sustain positive relationships
• Advanced organizational skills; proactive with a keen attention to detail
• Well-developed problem-solving and decision-making skills
• Ability to prioritize work and meet deadlines, while delivering high-quality outcomes
• Ability to tolerate ambiguity and work effectively through it
• Ability to remain flexible and adapt to shifting priorities within Research and role
• Dynamic and driven team contributor who is eager to learn and able work independently and as part of a team
• Discretion with highly confidential and sensitive information
• Strong Microsoft Excel, Outlook, Word, PowerPoint, and Adobe Acrobat skills preferred
