About the Department:

The School of Law at SMU was established in February 1925. Highlighting the celebration of its 75th year, SMU School of Law was named Dedman School of Law in 2001 in honor of Dallas benefactors Nancy and Robert H. Dedman, Sr., and their family. With more than 15,000 graduates, SMU Dedman School of Law has a national and international reputation of training prominent lawyers in both law and business. About the Position:

Perform a wide variety of administrative tasks for several faculty members at the law school, including clerical support, publication support and editing work, travel planning, meeting set up logistics, scheduling, processing reimbursements, exam support, and other duties. Assist with operations and programming for the Office of Cultural Intelligence at SMU Dedman Law.

Essential Functions:
  • Admin support for Assistant Dean for Office of Cultural Intelligence, inc. coordination, organization, & implementation of pipeline programs, first-gen programs, CI trainings, & other initiatives; provide event support and collaborate with Assistant Dean for CI to design & implement programs to advance CI initiatives; assist with web page content and design, social media, and other promotional activities.
  • Faculty Forum: Coordinate the speaker series, including scheduling speakers, booking travel and hotel, scheduling catering and room reservations, scheduling A/V support, disseminating speakers' paper and invitation, posting on web site, and facilitating speakers' travel reimbursement.
  • Arranges meetings and travel arrangements for conferences, seminars, symposiums and other events, including the Faculty Forums. Makes travel arrangements and coordinates travel reimbursement and other expense reimbursements.
  • Utilizes multiple technical applications including word processing, electronic calendar, email, and internet as needed by various members of the faculty (including research using the internet).
  • Provides clerical support including keyboarding, composing and editing letters and other documents, copying, scanning, creating and maintaining filing systems, responding to emails, ordering textbooks, and disseminating information.
  • Working with faculty and other staff, coordinates dissemination of and tracking of final exams, and provides information to students and faculty regarding final exams as directed.
  • Edits faculty articles for submission to various publications and otherwise prepares them for submission; mails reprints to faculty's list of colleagues.
Education and Experience:

High school degree or equivalent is required. A bachelor's degree is preferred.

A minimum of two (2) years of experience in an administrative assistant or similar support role in a high-volume setting is required. Candidate with three (3) years of experience working with lawyers at a firm, law school, in-house, government agency, or non-profit is highly desired.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills and the ability to effectively work with students, faculty and staff. Candidate must be able to communicate effectively in writing; maintain paper and electronic files; work independently and anticipate issues, but also be under the supervision of several faculty members as well as the Assistant Dean for Administration.

High-level competency with Microsoft Office Suite (Word, Excel, PowerPoint) is required. Candidate must demonstrate ability and willingness to learn new systems as they are implemented. Candidate with knowledge of Publisher and Adobe Acrobat is preferred. Must also have strong organizational, planning and time management skills.
