JOB SUMMARY: Responsible to assist and guide all shipboard candidates through the initial documentation process required to work onboard Norwegian Cruise Line Holdings vessels. Ensure compliance with company policies and protocol relating to documentation requirements, and support and maintain adequate manning levels. Responsible for gathering, reviewing and filing of all candidate documentation as well as data entry of candidate's information in the applicant tracking system of record.

DUTIES & RESPONSIBILITIES:
  • Maintain and update applicant information, current status and e-file for all new hire candidates throughout the pre-employment clearance process in the applicant tracking system(s).
  • Review applicant documents provided by the recruiter, hiring partner or directly from the candidate; such as passport, visas, background checks, medical and ensure all requirements are secured.
  • Ensure new hire status is accurately reflected in the applicant tracking system and information is transferred to the scheduling system.
  • Manage the gap pool of approved new hires to ensure select percentage of new hires in each job categories are in the pre-employment clearance stage at all times. Be aware of processing time per region to ensure scheduling timelines are met.
  • Collect and verify all documentation for new hire candidate is compliant with international and local requirements.
  • Work closely with the medical department to ensure that all potential crew members are in compliance with physical requirements for shipboard employment.
  • Coordinate with the shipboard manning team to ensure that the pipeline of applicants is at par level to meet the upcoming needs of the vessels. Elevate any recruitment needs to the supervisor in a timely fashion in order to conduct recruitment and processing before the pipeline is dry.
  • Maintains the applicant tracking system with appropriate updates of candidate status communicated by the new hire, hiring partner, assignment specialist etc.
  • Perform other job related functions as assigned.
QUALIFICATIONS

DEGREE TYPE: High School Diploma

EXPERIENCE:
  • 0-1 year business/administrative experience is required.
  • Cruise line experience is strongly preferred, specifically as it relates to staffing and dealing with large international crew movement. 6 months experience ensuring compliance with global visa requirements, travel documents and medical terminology is preferred.
COMPETENCIES/SKILLS:
  • Excellent interpersonal and organizational skills in order to meet deadlines and coordinate high volume new hire processing while working in a fast-paced environment.
  • Strong written and verbal English communication skills required to effectively interact with new hire candidates, hiring partners and ship/shore side team members within the organization.
  • Ability to communicate effectively with people from diverse cultural backgrounds.
  • Strong knowledge of the Microsoft Office Suite with special emphasis on Outlook, Word and Excel is required.
  • Ability to shift priorities based on shipboard manning/business demands.
  • Must have the ability to work autonomously with little supervision.
  • Ability to handle and maintain confidential information.
