Careers Office Support Administrator II Round Rock, Texas The Office Support Administrator II applies specific knowledge and principles and practices at an above basic level and uses standard techniques, procedures, and criteria to perform tasks as part of a broader assignment. Work assigned to Office Support Administrators may range from very routine and procedural duties, such as providing receptionist, phone, and typing services, to more advanced duties such as assisting with conferences, meetings, local and office events, arranging travel, maintaining schedules and calendars for others, completing forms, and assisting with project documentation and/or other special assignments. This is an on-site/in office position. Key Responsibilities: Greets incoming guest/vendors and answers phones during normal business hours Package pickup/delivery Sorts and distributes incoming mail, prepares outgoing mail and packages Orders, checks in, and distributes general office supplies (coffee, vending, break room, restroom, mailroom, etc.) Advanced typing, copying, printing, binding Scans/sends documents to clients, sub-consultants, and other Garver offices Scans documents to electronic files Above basic data entry in Vision (unit logs and expenses) Services office vehicles as needed, maintains vehicle log Assists with office vehicle tag renewals Plans, coordinates, facilitates, executes, and cleans up office events (holiday party, summer picnic, retirements, morale, etc.) Assists with travel arrangements Ensures cleanliness of all office areas (outside of janitorial services) Communication with and coordination of office cleaning service and repair Coordinates meetings (meals, venue, AV, etc.) Assists with agendas, meeting minutes and may attends meetings May code, route, and track invoices. Performs other clerical or administrative duties as needed Prepares expense reports Generates documents such as letters, memos Generates above basic spreadsheets and presentations Active participant in inner-office activities (IE Garver Gives) Cultivates strong partnerships with ROA and other office leadership The ability to bend and lift 20 to 30lbs required Other duties as assigned Education/Professional Experience: High School diploma College level courses or professional certifications (preferred) Three+ (3) years of related experience Communication Skills: Possesses above basic oral and written communication skills. Interacts with staff, clients, sub-contractors, and the public in general.
