Annual Bonus Eligibility: 4%

SUMMARY OF POSITION

The Office Services Coordinator is responsible for providing exceptional customer service by greeting and assisting guests at the Destination Cleveland/Greater Cleveland Sports Commission offices. This role will help coordinate office deliveries with the Facilities Supervisor. The Coordinator will uphold health, security, and safety measures, assist with meeting arrangements, and ensure timely communication of facility-related information. Additionally, the role includes maintaining office and facility checklists, updating inventory procedures, and implementing operational improvements. This role will also support office renovations, collaborate on efficiency plans, and manage storage areas. Other clerical duties as assigned are also part of this role.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Proactively greet and assist all guests during their visit to the Destination Cleveland/Greater Cleveland Sports Commission offices, providing the highest level of customer service.
  • Answer telephones and direct the caller to the appropriate department/staff person.
  • Work with Facilities supervisor to arrange for all pick-up and drop-off of all office and warehouse deliveries (to include UPS, FedEx, USPS, etc., as well as individual guest pick up).
  • Uphold health, security and safety measures/policies within the staff environment and identify areas of opportunity to improve them.
  • Assist staff with arranging meeting needs including supplies, AV equipment setup, food & beverage.
  • Ensure that proper facility-related information, notifications and updates to staff are provided in a timely manner.
  • Monitor and proactively manage meeting room calendars.
  • Assist in the Design of & uphold and maintain routine office and facility checklists.
  • Uphold & maintain update inventory standard operating procedures.
  • Implement enhanced operational procedures to improve efficiency of office operations and maintenance requests.
  • Assist with renovation and/or move of Destination Cleveland main office.
  • Collaborate across the organization to maintain and enhance an ongoing office efficiency plan and ensure proper execution of the plan.
  • Uphold an inventory system with a retention policy for those areas while ensuring that incoming and outgoing deliveries follow the developed system.
  • Other clerical duties as assigned.

REQUIREMENTS

  • Excellent communication and organizational skills.
  • Ability to work independently.
  • Basic Knowledge of NE Ohio and its assets.
  • Ability to collaborate with others & understand stakeholder needs.


EXPERIENCE AND EDUCATION

  • High School Diploma and/or 3 years of Operations, Office facilities, or related experience.
  • Must be comfortable with a high degree of interaction with the public.
  • Strong interpersonal and customer service skills.

WORK ENVIRONMENT

Office environment; moderate noise. Days and hours of work are Monday through Friday, 8:30 a.m. - 5:00 p.m.

Some weekends and evenings will be required around major event support.
