We are seeking a highly skilled Office Services Associate to work at our client, a prestigious law firm. This role is critical in ensuring seamless office operations, providing top-tier service, and maintaining a professional and well-organized workplace. The ideal candidate will have a strong background in office management, facilities coordination, and hospitality services and be committed to excellence.
Key Responsibilities:
- Hospitality and Client Services: Provide exceptional service to attorneys, staff, and clients, maintaining a polished and professional presence.
- Office and Facilities Management: Oversee the cleanliness, organization, and functionality of office spaces, including kitchens, coffee bars, conference rooms, and shared areas.
- Inventory Control: Manage and maintain stock levels for office supplies, kitchen provisions, and conference room essentials.
- Event Coordination: Organize and facilitate catering, meeting setups, and post-event cleanups to ensure a well-maintained and professional environment.
- Mailroom and Print Services: Oversee incoming and outgoing mail, package handling, and print production.
- Vendor and Building Liaison: Coordinate with vendors, building management, and service providers to address office needs and maintain operational efficiency.
- Ticketing System Management: Monitor and respond to service requests in a timely and professional manner.
Qualifications and Requirements:
- Experience with Environmental Monitoring Systems (EMS) is required.
- Strong follow-through skills with the ability to anticipate and address office needs proactively.
- Expertise in Microsoft Outlook and similar office applications.
- Proven track record in office management and operations, including reception, catering (ordering, setup, cleanup), print, mail, supplies, inventory, and hospitality-related tasks.
- Minimum three years of experience in office services, management, or facilities coordination.
- Previous experience in mail services is required.
- Bachelor's degree preferred.
