Position Summary / Objective: KMS Solutions, LLC is seeking an outgoing, proactive, and highly motivated individual to serve as the Office Manager for our two offices in Northern Virginia, one in Alexandria and one in Crystal City. This person provides an essential service to the company in providing visitors and new employees with a professional and positive first impression of the company. They ensure the orderly and smooth daily functioning of the office, ensuring all employees are provided with a clean, safe, and functioning office environment in which to perform their duties. Serve as the office receptionist (answer phone and transfer calls, greet visitors/maintain visitor log, receive and distribute mail and packages).
Maintain inventory of essential office supplies and order/replenish supplies as required.
Ensure the proper functioning of office equipment and submit repair requests as required.
Coordinate with building managers to manage janitorial, water, and office maintenance services.
Coordinate office meetings, visits, and KMS events.
Assist with receiving and onboarding of new KMS employees.
Assist the NCR contract Program Managers with compiling and editing monthly reports and metrics and other contract deliverables. Required education and experience: Bachelor's Degree or High School Diploma and 3 years of relevant work experience
Experience and proficiency with MS Word, MS Excel, MS PowerPoint, and SharePoint.
Experience and proficiency with writing and editing reports and other contract deliverables.
Experience with generating and maintaining metrics. Preferred education and experience: Prior experience with HR and Security directives, processes, and procedures is a plus.
Knowledge/experience in the use of MS Access and/or MS Project. Competencies: Must be able to communicate effectively (both orally and in writing).
Excellent people and customer service skills are essential.
Attention to details and proficiency
Ability to obtain and maintain a security clearance is a must. Additional eligibility requirements Work authorization/security clearance requirements: Able to maintain a SECRET security clearance. Position Type/Expected Hours of Work: The typical workday is eight hours in length. Some flexibility in hours is allowed, with concurrence from the supervisor. Attendance at prescheduled mandatory meetings is required. Must be available during the core work hours as determined by your contract/location and must account for the required number of hours in a pay period to maintain Full-time status. Telework: This position is not authorized for routine telework. Travel: Travel up to 10% between KMS offices may be required.
